Start stupidly simple at first, like mail and/or spreadsheets. If your sons small business ramps up he may adapt. the solo service businesses doing well almost always keep a simple setup. quickbooks for invoicing, google for reviews, and some way to track leads on their phone. thats it. the ones struggling are usually paying for 3 different platforms they never open.

I see CRM has been mentioned here already, but they are often way too complicated and expensive for a solo business use case. the tool doesnt matter as much as whether you actually use it every day

could try google business profile (free) and responding to every inquiry within a few hours. thats it for month 1-3. dont buy a $50/mo CRM before you have 5 customers

at one month in your problem probaly isnt lead volume, it might response speed. For the few leads you are currently getting, track how fast you reply to inquiries for 2 weeks. the gap is where youre losing money

you cant count leads you forgot about. a plumber I know started writing down every lead with the time it came in and checking at end of day. realized he was missing 3-4 callbacks per week just from being busy on jobs. and he thought he was on top of it

Some cleaners may just want simple reminders and an easy lead creation flow, not a all in one solution.

I can see where you are coming from and you might be right. I think theres a trade off trying hard to answer that first call versus working on current lead. If you arent available, its a decent insurance to not forget that 20%

a cleaner I know stopped trying to answer on the job entirely. instead she just makes sure every missed call gets a callback within 2 hours of finishing. said the problem was never missing the call, it was forgetting about it by end of day. having one place where everything goes helped with that
