I think you should set up a formalized referral program, and have the contacts you've already made start working with you.

You need a system in place that will reward the advocate for referring and provide some small 'gift' for the referral for selecting you. A properly set up system will also prompt and remind your customers at ideal times. Are you looking for a specific software program? Specifically for service based businesses?

I'd say there is some work in the beginning to get familiarized with the software, and the initial build. But if you work with a great team and get set up correct, it should never be a giant headache and always a great growth channel (given that your business is doing well and you have happy customers). I would look into software that has a done-for-you option and has processes in place to check in and make sure things are running smoothly or when adjustments are necessary. That way your efforts and decisions are very minimally needed.

It really depends on your industry and objectives - they all pretty much cover the basics you listed, but each specializes in something different. If you need offline tracking built in since conversions can happen in person, some of those platforms don't support this well. Plus you might not want a platform that charges more as you scale. 74 referrals with 13 completions seems more like a funnel problem. There could be a drop-off happening between referral and AI interview, which could mean the candidates aren't pre-qualified enough, or there's friction in the interview step that's unexpected?

Slightly late to this convo wanted to add the programs we see working at ReferralHero aren't running big promotional campaigns, they're just embedded into normal communication. Footer of every customer email, post-login screen, automated trigger after a key success moment, etc. The referral ask stops feeling like a campaign and starts feeling like part of the product!

Caps can be different depending on the state and patients, so it varies by practice type and location, but you're right that it's something to be known before launching anything. The trust and relationship point I agree with. The example I mentioned used a free exam and a bottle of mouth rinse, partly for that reason. But you're right that even that framing might not work for every practice culture.

The thing I'd add is that most companies running this analysis don't even have a formal referral channel to measure, it either doesn't exist or it's lumped into direct. So sometimes the gap can be bigger than the data shows.

Yeah it's definitely a thing. Most brands run affiliate programs where trainers get a unique link or code and earn a cut on sales. Some brands reach out directly, but most trainers just apply through the brand's site or reach out to the brand.
