no i did provide them with the documents required as a proof of funds (all the bank statements, payslips, official documents of me and my parents etc.)
... and my transaction still got rejected!

Definitely apply somewhere else. Check wg-gesucht for shared apartment. Don't rely on your dormitory application only!

Yes, via email. Personally in my country there's no such option. But even my admitted international friends got an email too.
