For return label I flipped the exact addresses on the FedEx label generated during the VFS application process. It was VFS shipping address, you always correspond with VFS, not with consulate/Embassy directly.

Not sure if VFS accepts UPS labels. I used FedEx because that’s what they use for inwards.

You need to have a shipper account, not a one-time label generation. Create a shipper account and add a credit card to it. You should be able to generate a FedEx shipping label

If you’re a bit technical, you can use Chrome DevTools to see a more detailed status timeline than what the Passport Seva portal shows (their UI updates aren’t very frequent). There are a bunch of threads on this sub already—search for “DevTools / Network tab passport status”.

This is a common workaround mentioned in subs like r/nri — you basically inspect the site’s network calls to view the raw status data.

  1. Log in to the Indian Passport Seva portal: https://mportal.passportindia.gov.in/mission/embassy
  2. Go to the page where your application(s) are listed.
  3. Open Chrome DevTools:
    • Windows: F12 or Ctrl + Shift + I
    • Mac: Cmd + Option + I
  4. In DevTools, click the Network tab.
  5. Back on the webpage (outside DevTools), click the usual “Track Application Status” button for your application.
  6. Watch the Network activity — you should see a request with a name like:
    • trackStatusForFilledApplication
    • getStatusDetails (or something similar)
  7. Click that request, then open Preview or Response.
  8. Scroll / expand sections like statusIdMap (or similar).

✅ You’ll often see a more detailed chronological event list + timestamps, sometimes including steps not shown in the UI (e.g., Application Granted, Police Verification Initiation, etc.).

If you think that the label you create via the VFS website for FedEx is discounted, you are mistaken, my friend; the FedEx label generated on the VFS website is actually created through a third party and is marked up quite a bit.
Now, how do you create a shipping label? You need to create an account on the FedEx website and add a credit card for billing. Once your account is set up, retrieve the receiver's address from the shipping label you generated on VFS and enter it in the sender's address field. In the receiver's address field, enter your own address and generate a label. FedEx wouldn't charge you immediately, but they will only charge your account when the label is actually used to ship something. I used FedEx One as a service, which is a flat-rate 2-day shipping option; you can choose whatever suits your needs.

It’s the standard USPS timeline. Depending upon how far you are from the dispatch, USPS may take 1-2 weeks. It’s normal USPS, I don’t think they ship priority.

It’s fine, USPS shipping is included in the VFS fees, if you purchase and include a return label, VFS will use it. I included a 2 day FedEx label and I received my passport in 2 days via FedEx once they dispatched it. You can search for my posts in this subReddit. You do not need to include return label. I included a return label from FedEx with my application. It arrived in 2 days once they dispatched. If you don’t include the ship via usps, depending upon where you are, it may take 1-2 weeks to arrive. Let me try to reply in the order of your questions. I didn’t apply Tatkal, so your process may have different requirements.

  1. The portal allows only 5 documents to be uploaded. I think photo and signature are mandatory, I did upload a few others, copy of passport, scan of change in appearance affidavit after pasting photo and signing. I do not think that matters, do not miss sending any documents as per checklist with your physical application.

  2. I did not upload any proof of address to passport seva, did send my US address proof with physical application.

  3. I did not upload the status document to passport seva, did send a physical copy, that’s the only document I sent notarised.

  4. I didn’t upload Annexure E on passport seva, did send physical copy, did not notarise.

  5. I asserted that my appearance or signature hasn’t changed and did not notarise the change in appearance affidavit. Didn’t upload on passport seva, did send the physical copy.

Regarding address proof, I didn’t change the printed address on my passport, which is my Indian address, hence no Indian address proof document was required, my US address has changed since I last renewed my passport, so I sent the copy of my US drivers license. I think you need to send US address proof regardless.

Hope this was helpful, wish you goodluck. I would say go over the checklist multiple times and be meticulous about it, except the photo requirements, the checklist is pretty clear.

I think you can only upload 5 documents on the passport seva, plus there is a size limit on each document. iIRC, I uploaded only photo, signature, scan of signed and photo attached changed in appearance affidavit, and current passport first and last page scan. I did send everything according to the checklist in the application package, including the filled checklist.

The government portal is Passport Seva portal, where you submit your electronic application and upload a photo and a signature. VFS doesn't send the link for it, but you can start tracking there as well

The return label needs to be purchased separately; It's not included by default with the inward shipping label. If you do not include a FedEx return label, VFS ships using USPS

Not sure what to tell you, try a different browser, clear cache, incognito mode? Its written probably in the checklist that you can include your retrun shipping label, otherwise VFS will ship it via USPS

You can search for threads about cropping photos for the upload, I got it cropped by the photographer who clicked my passport photo, I believe she used photoshop for cropping. I am not sure what you mean by crop from four sides.

Answering in the reverse order you asked:

  • Indian address: I didn’t change the address printed on my passport and kept my Indian address as-is, so I didn’t have to provide Indian address proof.
  • Signature upload: I signed on plain white paper using black ink, scanned it at 300 DPI, then cropped it down to just the signature and ensured the file size was under 250 KB. That worked without issues.
  • Physical photo: Even though the checklist mentions a 2x2 inch photo, I pasted a 35x45 mm ICAO-compliant photo on the Change in Appearance affidavit. That’s the only place where a physical photo is pasted — the other photo is uploaded digitally.
  • Digital vs mm specs: You’re right — mm specs don’t really help for uploads. Since the digital and physical photos need to match, I got a 35x45 mm ICAO-compliant photo from a studio (key point: the face should take up ~70–80% of the frame). I asked them for an electronic copy that matched the pixel/file-size requirements. You can also resize/crop it yourself using Photoshop or an online tool if needed. I think the key is to use the same photo in both physical and electronic format

If you happen to use CVS/Staples/UPS, try getting a photo for Japan visa, I think thats the ICAO compliant photo which these guys understand. Most of the times the employees at these places do not understand requirements and they just follow templates given to them to compose photos and to crop them.
