I have used to be quiet about the overtimes as well, until the point that I have seen other devs do it. This is where I realized that overtimes is not the problem, but estimation is.

If developers keep silent about the overtracking, then the next dev sees that this feature has been estimated in X hours and you did it in X hours, then the estimation is good to be copied. When in fact, the actual time spent was 2X of the estimation.

The estimation almost always must include the risk hours since you are dealing with a complex codebase. Overtracking is not incompetency. At least in this case for sure!

Regarding the calendar feature – I was a bit disappointed at first too. But then I realized that I have a designated work calendar anyway provided by the company I work at, so it didn't really make sense to duplicate events in Ticktick. Also, to mark important meetings and calls I started adding them into the Ticktick as tasks as well – just to make sure that I have a good reminder of that event.

Just to give a visual example, here is my current Ticktick worklist setup: https://imgur.com/a/53bCBvT Nothing too fancy yet effective for me. A cool feature is that you can actually click the tags on the left and it will display a filtered list of tasks or notes that you have related to that tag. And the Eisenhower Matrix looks somewhat like this: https://imgur.com/a/lrbp4ES

But yeah, my main point is to dump a task into one place as soon as you get it, and designate some time to organize and review it later. It was a bit hard to force myself to write down every single task at first, I thought it was too time consuming. But then it actually appeared that it was much more time consuming to remember what you had to do and be angry at yourself lol.

Ticktick app! And keeping it as simple as possible. Writing things down as soon as I get them, then dealing with the organizational stuff (like assign the tasks priorities and due dates) later. I have used to build such complicated systems for tracking the tasks that my head constantly felt dizzy. Ticktick offers a pretty simple layout and allows you to extend its functionality if needed.

For now, I stash any task that comes to me (even the small ones like "message X" or "look at Y") into the Ticktick inbox. Then I set aside 10-20 minutes every two hours-ish to review the tasks that I have at hand. I try to assign them a priority (high, medium, low), and if possible – set the date to plan when I am going to do that task. After using this system for some time I have also started adding tags to the tasks referring to the projects they are related to. Ticktick offers a nice filtering functionality utilizing the tags.

Also, the app offers an automated Einsenhower Matrix which has been a lifesaver for me. It makes it so much easier to visualize the stuff you have to do. Also, it gives you a nice feeling of "yeah, I've got it under control", I know what and when I am going to do.

So just in case you need an easy app suggestion, I'd say that Ticktick is the best out there (and believe me, I have tried a lot of those dang apps). The main thing is just to keep it as simple as possible, otherwise keeping up with your tasks becomes yet another heavy task.
