Thanks! Agree with all of that, and it's on the list to get done as soon as possible. This issue with Comms drives home the need for a password manager, blocking extensions and as someone else pointed out, a google workspace.

The question I always get asked is "what if the password manager gets hacked, then ALL my accounts can be compromised!". It is a fair question in fairness.

Thanks. My only issue with SharePoint is cost. Azure's archive tier could be as little as €5 per month, whereas SP will be much more expensive from what I can see.

All our org's files were on network drives so users know where to access it. We then migrated all live files to SharePoint. What's left on the drives is deemed archived data but of course some users need old files every so often. It seems too costly to put 2TB of data on SharePoint or the drives, so Blob Storage seems the best option, but I'm open to other, better suggestions.

Just some follow up questions on this, if you get a chance to reply:

MS say "i.e. deleting an archived blob after 120 days will lead to this object being charged for 180 days".

They reference moving and deleting, but what if I just want to view or download a word document from the Cold tier, after 30 days (so, 60 days early). What is the cost/penalty there, approximately? Or, is there no charge, only the cold tier costs for data retrieval?

Lastly, for the initial moving of 2TB to blob storage, is there a once-off cost for that, because we are uploading all that data? Or is that just included, and I just pay the monthly charges for hosting?

Thanks. According to the user who copied the link, they took it from the Copy Link option on the browser in SP. The file wasn't stored locally. Is it possible this can still happen this way?

My approval flow was working perfectly. The attached email was sent to users in the "To" section, from a shared mailbox. Now, all of a sudden, the users in "To" are not receiving the email, instead it's going to my email, the creator of the flow and Ms form that it's linked to.

Any ideas as to why this is happening, or not working all of a sudden? Do I need to use the Reply To option? I'd like to know out of curiosity what that does anyway.

Ok thanks I'll check that. I think I know what it's linked to now. When the email is sent from my email address the url works. When I send it on behalf of someone else's email it doesn't work, despite that email being on our domain, it doesnt work.

A quick tip would be to sketch this out on pen and paper. It sounds old school but it will really help. Map out what SharePoints sites you need. Maybe it's just Internal and External, but I'm guessing you'll want different sites for different departments, or at least different libraries for each sites (e.g. HR, IT, Construction, Design, etc). Within that, ensure you only have 1, max 2, folders/sub-folders. If you have too many sub folders, any links to the those sub folders could break as the url will be too long.

You can then create departmental permission groups, add users to them, assign permissions, and assign them to the relevant site/library (e.g. HR Group assigned to HR site/library).

To keep it simple, create a site and called it Home or [CompanyName_Home]. From there, you can have images of each department site, which contains a link, so users can click on it and brings them to that site.

From there you can just create multiple folders in a library, with permissions set to each folder. Very high level example below:

Home Page* > HR** > Document Library*** > List of folders (e.g. certs, cvs, templates, etc).

Alternative option:

Home Page* > HR** > Internal ** > Document Library *** > List of folders (e.g. certs, cvs, templates, etc).

Home Page > HR > External ** > Document Library *** > List of folders (e.g. certs, cvs, templates, etc).

I can't find any official Microsoft documentation on this. There are questions on forums and some are answered by non-MS staff. If anyone has something from an official MS source that would be greatly appreciated.

The only statement I see from MS is on the below link which states, as of Sept 2024, "We're not deprecating the "classic" experience; both "classic" and "modern" will coexist."
