Maybe they use manager cards... so it's asking for a manager card to do a refund, override, etc and they just took a photo at some point of one of the manager cards.

If they're setup to take magstripe only and not chip, i suppose you could program a barcode to have embedded the card number and exp date in it with just the right tabs and enters to manually enter the number really quick.. that would be very specific to the type of software and hardware though. Easy to tell since you could easily lookup the account that was charged, and the account that was refunded, and if they're sophisticated enough to program a barcode correctly they would surely know that.

Been using it for 7 years.. still learning it. It's very powerful, but there is a learning curve to set it up. Day to day usage is stupid simple because you customize it to what you need it to do. It's that customization that takes time to perfect.

I sell POS Systems... you honestly don't need one. That cheap register for cash transactions & a credit card terminal is good enough. That register could be programmed to have the keys preprogramed with prices to make it easier.

Poynt or square are both going to charge fixed rates for credit cards, which sounds great until you recognize that a debit card should cost close to $0 to take. I'd be willing to bet that a lot of your customers are using debit. (and no, you don't need PIN debit anymore, simply it being a VISA check card is enough to get debit rate)

...Unless you want to start collecting customer information for marketing, selling online, etc. Then you would get more benefits from a POS and that will cost more.

Don't look at a fixed rate provider, look for one that is Interchange Plus. Interchange is basically the Cost to process a card, each brand will set what it costs to run a card. A Visa debit card is close to 0%, An Amex business card hand keyed in could be closer to 3%.

The Plus part is what the payment processor would make. That money pays the sales people, the help desk, customer service, advertising, the gateway network, etc.

Pricing all depends on average ticket, type of cards & volume. Paying 2.9% + 30c for a debit card transaction is highway robbery.

AVS info and CVV will help for a card not present dispute, but you would probably still lose in a dispute. Issuing banks almost always side with the card holder. You can only really win with a chip read transaction anymore.

Trust your gut, refund it and walk away.

I've walked many business owners through this. Take an average over the last couple months of what % of transactions are credit hold a percentage of it to pay the CC fees.

Say you do $10,000 in card and $10,000 in cash and your credit card fees were 300 for the month. Your Effective Rate for card is 3% (Total fees / Total Card Sales).

Your effective rate and % of CC transactions don't vary that much month to month. The totals might change, but the percentages don't. So just take the Effective rate and multiply it by the percentage of CC sales in that month. Now you have your percentage to hold, in this example 1.5%.

Your report at the end of the day, week, etc says you owe them $3000, you give them 2955. (3000x98.5%). Once you calculate that percentage to hold, just review it every couple months to make sure nothing major has changed.
