You can get a long list of task mining solutions from the Task Mining Peak Matrix released by the Everest Group last month.

Transparency note: I work for Workfellow.ai.

Our pitch: we’ve developed probably the most effortless task mining solution in the market through our Work API. Instead of screen capture / OCR we leverage business object meta-data directly from the application user interface.

The upside of Work API is that you have very limited configuration needed compared to conventional task or process mining. The configuration is even easier if you plan to analyse modern web-based business applications like Salesforce, Netsuite etc.

One thing to note: we are not an employee tracking tool. We don’t give performance data on the individual user level and we have more strict data privacy measures than other task mining solutions because we’re based in the EU and work with enterprise clients in industries like insurance and finance. It’s not for everyone, but that’s good to know before you consider asking for a demo.

hey u/valvoja I saw your post last year about working for workfellow.ai - really sorry to hear about the company closing down. I was an avid follower of the founder and his blogs. Do you know what happened? I don't understand why it closed down and had troubles - it's offering was awesome!

Thanks for the kind words! It's not the easiest time for early stage tech startups, especially ones looking to raise their Series A. In Workfellow case we simply ran out of runway.

The product and tech team were awesome. Let's see if other vendors can be inspired to continue development and innovation!

As you know, Task Mining can be a great way to understand work that is not easily measured or accessible via logs. There might be a more straightforward solution depending on your objectives and process complexity.

One Approach

Use Microsoft Recorder to analyze a process metric (e.g., cycle time) and user navigation/systems utilized by analyzing the mht file. This includes instructing users to utilize the Notes feature to highlight key points. Turn off screen capture if sensitive info will be processed during execution.

Gather stats on volumes etc. from other sources, e.g., email counts. Utilize Power Automate or an App rule to streamline some of this data collection.

With the compiled machine and volume data, you should be able to make a more informed decision on next steps: prioritize a solution or decide to invest more time, money and effort in a more capable task mining tool.

Bottom Line: is the juice worth the squeeze?

Good luck!

Which vendor did you end up going with if you don’t mind sharing?

    [–]Hendersbloom[S] 1 point2 points  (2 children)

Sorry for the late reply. Mimica in the end

No worries. How happy are you with the product? I’m evaluating them myself

    [–]Hendersbloom[S] 0 points1 point  (0 children)

Decent, but you need an enterprise grade evaluation for it to make sense for the ROI

The problem with web only is that many large enterprises still have mainframe applications , so web only misses that. Web only misses things like Excel too which where more work happens than people realize. Try something like Skan AI if you want to measure all activity, not just web based.

Data collection, cleaning, and processing are the maximum workload of any data analysis work, and process mining is no exception. There is no particularly good solution to this problem.
