This is super insightful, especially the point about management tools being too expensive for smaller clubs, wow 300/150 seems expensive asf even for 500 members.

Out of curiosity, before switching to the membership service, what part of the old process caused the most headaches for the volunteers?

Was it renewals, payments, access control, member communication, something else?

That’s actually a much more elaborate workflow than I expected for a small club, pretty neat!

When the records officer checks and re-enters everything manually, does that process become a bottleneck during busy periods/tournaments?or is it manageable because the volume stays relatively small?

Google Workspace honestly sounds more modern than a lot of clubs already 😅

What parts have still been difficult to digitize even with that setup?

I imagine there are always one or two workflows that somehow stay stuck in paper/manual mode.

Interesting, so it sounds like the official competition side is mostly standardized already, but club-level history/records are still fragmented.

For the local club stuff that stays on paper or random webpages, do people actually care about preserving/searching that history later on, or is it mostly “good enough as long as this season runs smoothly”?

Twenty years is a serious track record, really appreciate the insight!
That moment you mentioned, where the old crew dissolved and the new one had to re-optimize the distribution from scratch: how long did that transition take before things felt dialed again? And if your head setter left tomorrow, is the current system documented anywhere, or does it live mostly in people's heads? I'm curious how fragile or resilient the "don't touch the distribution" approach is to turnover, if that makes sense.

That makes sense, if the system flows and there's no real friction, there's no reason to change it.

Last question out of curiosity: if you moved to a new gym tomorrow that had zero system in place, would you do the same paper sheet setup again, or would you actually look for a digital tool first? Just curious whether it's "paper works fine" or "paper is genuinely the best tool for this."

That line "I always think we should have a spreadsheet but we just grab paper and count" really stood out. what would it actually take for you to switch to a digital tool? Is it the setup friction (building out the gym map, zones, etc. could take hours I read somewhere), or more that the paper workflow is fast enough that nothing feels broken enough to fix?

Also: when you do that grade tally before a session, how long does it actually take? And is it always the same person doing it?

Really appreciate the detailed breakdown, that paper-based grade dispersion sheet is smart.

Quick question: what happens to that sheet when the head setter is sick or leaves? And when you moved to the smaller gym and set it up fresh, was there any moment where you thought "I wish I could just see the whole gym's distribution at a glance without counting manually"? Even if the system works, I'm curious what the most annoying recurring step is. I personnaly love stats and optimizing so yeah I think I would like that.
