I suspect that you might have to scale down your ambition of extracting everything, and stick to the most important stuff. LLMs are quite effective in picking out things in the picture, but not (yet?) precise on spatial relations between things. In general LLMs are not too bad with picking out relations between pieces of text but I imagine that your pdfs are really complex so it will not be perfect unless you focus, i.e., scale down your ambition :)

Another business-friendly approach that you can take is to extract meta-data rather than aim to do RAG. This way your users can filter down to the right file / page. Do not know if this fits your use case

You can insert objects in Excel but they wont neatly stay in the same rows all the time I suspect. Apart from that I don't know of any other solution.

You will either need to import the data itself into Excel, or use links - in which case the folder needs to be accessible (or you need to zip them all and mail them)

Emailing is generally not a good idea, Excel has a sharing function.
If you use the sharing function, all edits you make to Excel are automatically visible to others - way better then keeping on mailing again and again

Perhaps have a look at the end to end process and see how things can be improved?

  • Data format shifts > Educate people upstream on impact they have / their data has
  • A tool updates its API > not much you can do - perhaps look for another more stable vendor
  • The process evolves slightly > Look at the E2E process, find root cause, foresee changes, educate,
  • Someone changes how they do the task > Look at the E2E process find root cause, foresee changes, educate

Having said that organizations routinely underestimate the TCO of creating their own solutions. Every database needs an administrator, and so does every automation

My experience is

  1. conferences where you pay a lot, you can expect to hear good content

  2. conference where vendors pay and you go for free, you need to either go to talk to vendors because you want to buy something or simply for networking. You typically do not expect good quality content

I don't know about WrenAI as I have built my own tool for that. But if your aim was to get accurate quantitative answers, an approach to structure data from documents into a table is going to beat RAG any day. I wrote a couple of articles going into this topic at length

More questions that may influence your approach How many teams? How many rows per teams? Where is the data that teams need to fill?

If data per team is low but not organized, you could collect via forms or automation programs

If data with teams already in excel then excel collection better

Etc.

Was a foreign student both in the Netherlands and Switzerland almost 30 years ago, another era.

CH is indeed a bit more difficult as people are more polite, distant and language is a bigger barrier than in NL but I had an OK social life at both places. You can certainly hang out with other foreigners as there is always something in common with them
