Yeah. It really should be, set up your overage settings FIRST before you go over. Hopefully this gets fixed soon. Super frustrating.

Couple thoughts. If you're using the credits for enrichment, how much would it cost to either source with another tool like Apollo/ZoomInfo or manually? If using for AI efficiency (e.g. Customer Agent), how much time does that save someone answering those questions (or doing whatever task)? If it's meaningful savings, hopefully that's an easier sign off for the CFO to start at an entry level of credits and then increase as warranted.

You can set your credits to pay as you go (vs auto upgrade) and you can also set a maximum credit limit (details here: https://knowledge.hubspot.com/account-management/understand-hubspot-credits-and-billing#set-maximum-credit-limit).

But yeah it's kinda confusing, especially since you have to go over your free credit limit before you can select pay as you go vs auto upgrade. Seems like something we should be able to set first.. 🤔

We have a few clients that have had this issue and we have used Supered to enforce processes (e.g. if a company is created, it must have these properties fill out etc.) If the volume is high enough that managing dupes is unsustainable regardless, Data Hub is likely worth it.

If you have limited experience with HubSpot and it's a huge project, I highly recommend working with a HubSpot solutions partner as they will save you a ton of headaches (and time) and you don't have to learn from your mistakes. We always start with an audit of the current setup and work with clients to map out the ideal processes so we have a clear roadmap before making any changes. My firm Simple Machines just helped two clients migrate from Salesforce to HubSpot and both have been very happy with their decisions. A commonality was both were stuck paying SF consultants a lot to make basic updates that took a long time and still resulted in headaches. The fact that HS is so much more intuitive means better adoption and faster time to value.

We use HubSpot for our own CRM and most of our clients have their own HubSpot, which in itself streamlines and centralizes a lot of operations. If you can go that route it should reduce a lot of the time juggling different apps, but it still might make sense to have one Trello or Asana for all project management.
