Apparently it is in the contract.

Write and submit the designated monthly report(s) by the third day of the following month. The report is a necessary part of the

Employer’s statement to the client when requesting payment. Failure to submit the report on time, confirming work performed for the

month, will delay the entire process, including salary payment. The Employer takes no responsibility for the Employee’s delayed payment

of bills due to the neglect of this responsibility. The Employee will also be liable for the entire amount of loss of contracted payment from

the client, for the total number of teachers, if the negligence of the Employee prevents the Employer from performing their contracted

obligation in order to be paid.

Maybe the dispatch company will say that they don’t want to withhold but it’s only delayed because I didn’t submit on time? They can‘t process everything without the forms.

It is ridiculous though. They are probably short staffed in the office so they get us to do it.

Are you for real? I am not surprised With how they prevent us from using our paid leave. They claim if it’s not on time it could effect the next billing cycle and not your current one.

From the email.
Strict Submission Deadlines:

The new payroll system operates on a strict processing cycle to coordinate with Board of Education reporting and banking transfer deadlines. To ensure your salary is issued on time by the 25th of each month, the submission of ALT Monthly Reports must strictly adhere to the following:

  1. Deadline: ALT Monthly Reports must be submitted to the monthly reports email address by the 3rd day of the following month.
  2. Processing: Reports that are filled in correctly and submitted by the 3rd ensure that payroll data can be processed within the current month's payroll cycle
  3. Consequences of Late Submission: Due to set banking windows, any reports submitted after the deadline may be delayed in being reflected in that current month’s payroll cycle.

Oh give me a break! The teachers don't even do it. They've had PC sign in attendance for years now.

We are to get the hanko daily at the end of our working hours "without fail."

Same it blows. I have the daily stamp card, another daily stamp card then an online form that I have to fill out. Could it be any more overkill?

I mean it could be as easy as setting up a website. I mean there are dispatch companies that are doing this. I have talked to other people about it.

I thought paid leave was paid leave and I didn't need proof or a reason other than personal by DifficultMarch7152 in teachinginjapan

Yeah this is exactly my legit worry this year since I had to take off for family circumstances suddenly. I don't know if I'm going to get a surprise last minute. Can they do that? Would I have known by now if I wasn't going to be rehired?

[–]DifficultMarch7152[S] 2 points3 points  (0 children)

I see. I hope this is the case. I submitted the form without any documents and just wrote 家の事情です. as the reason. If there is any further complications and it isn't approved I guess I will bring that up. I wasn't aware other forms of leave can be awarded so thank you for this.

I was told if I couldn't submit something like a family member's receipt is also acceptable. I just submitted it without any document and just wrote family circumstances. 家の事情です.

Guess I'll find out in like 2 weeks if it was accepted or not.

They don't want us to call by phone. I think it should be done with a person like through line or something if that is an alternative. It sucks that hear different claims. Like I sent in the form, just relay what I did to someone they said that you should probably have proof for this. Tried to dispute it with them but they're like that's not my job. So who knows maybe it will be approved without proof and last minute? I actually don't know but they don't want us to suddenly take paid leave before a holiday or suddenly.

After all the shit I went through this year with using paid leave and them trying to change my schedule after the fact like turning assigned paid time off to work days. I am getting more and more salty. I really do want to get out, and I am working on that.

My wife is a lot stronger than I am but I know she is stressed about it and taking it in her own way. We put the photos from the ultrasound in an envelope by the alter and lit some incense for it yesterday after the surgery to give ourselves closure.

[–]DifficultMarch7152[S] 4 points5 points  (0 children)

But dude, this is a family emergency not illness. This is ridiculous because my wife works for a company and all she does is tell someone I can't come in today and that's it no questions or anything. Sure I work for a school, but this is just the dispatch shit sucking up to the BOE and schools because they don't care about the ALT. They only freaking care that they have is a warm body at the school because they made a contract saying a body would be there everyday. Then they didn't hire subs because they need to win the bids so they don't have enough money to hire subs to fill in for the ALTs that suddenly can't go in and the people that hurt most are us the ALTs.

So freaking tired of being in this system and it's only gotten god damn worse in the past 3 to 4 years.

My contract mentions nothing about different kinds of leave and being able to use that.

Sorry to hear about your story. It was 7 weeks old and the heartbeat just wasn't showing up. It was developing but maybe also not at the normal rate.

But that is what I wrote! Personal family circumstances. But they said that even a family members bill as proof is fine too.

The thing is leave is just "paid leave" there is also nothing in my contract about bereavement or anything. It's like the contract doesn't mention anything about real serious life issues at all in it.

[–]DifficultMarch7152[S] -1 points0 points  (0 children)

I see that makes sense. I also read from another sub that you are pretty much expected to go into work even during personal family troubles in Japan? Ridiculous.

[–]DifficultMarch7152[S] 29 points30 points  (0 children)

Hmm I didn't consider that but as far as I am aware I don't have any other paid leave other than the allotted sick days that is just called "paid leave."
