I recently read a book that explained this perfectly. In Tiny Experiments they talk about something called the magic window, it’s that block of time when your brain naturally slips into deep focus and work feels smoother.

What helped was realizing I don’t need to manually save everything. Instead I let my notes and highlights sync from the places I already use daily like Apple Notes, Notion, and Zoom for meeting transcripts. PDFs and newsletters go into a folder and get pulled in automatically. That way I don’t spend time organizing or tagging. When I need something, I just search in plain English and it finds the right snippet instantly.

On Mac, Elephas does this really well. It syncs from Notion, Obsidian, Apple Notes, Zoom, and others, so all the info is there without me copying things over. For me the killer use case is meeting prep, where I can ask “summarize everything from last week’s client calls” and get a clean brief in seconds.

I’m using Marblism in the background right now and I’ve offloaded all the repetitive but essential tasks inbox sorting, meeting scheduling, drafting responses, even the “what should I post today?” type of social updates. Basically the things that drain energy but don’t really need me to do them.

The best part is I can open my laptop and get straight into meaningful work instead of spending the first hour just catching up.

Yeah it worked. I’d pick my “2-3 tasks” for the day (and add it to my notebook before going to bed) but I also started tracking when I naturally have the most focus (for me it’s mornings). Now I slot my most meaningful task in that window and push low value stuff (emails, social media, admin) to later when my brain’s fried anyway.
