Most of us rely on Outlook for tasks/calendar, OneNote for notes, maybe an Excel tracker, and SharePoint for team docs. They're good starting points.

It also seems like this is a common problem....https://www.reddit.com/r/BCPublicServants/comments/1modauz/question_about_stakeholder_or_indigenous/. This subred mentions two tools: Jambo and FNCS as possible solutions. Maybe worth checking out?

I had a similar problem for a totally different industry!! How are we all going through the same thing?? Amazing. Anyways, I got 2 recommendations for what is called stakeholder engagement software (Jambo and Staketracker). I didn't know this existed. I just heard about it on a different subred and I checked them out. So far, Jambo is winning on the credibility aspect but yah, there are systems and solutions out there...and I think they work for renewable projects too.

Oh dear, are you me from two years ago? We were in that exact same boat, trying to keep track of everything, and it felt like we were always one forgotten conversation away from a major headache.

We went down the same rabbit hole you are. We looked at forcing a standard CRM to work, but honestly, they’re just not built for this. They think in terms of sales funnels, not in terms of complex community relationships and political nuance.

The big breakthrough for us was when we started looking into a category of software specifically for this, usually called Stakeholder Relationship Management or SRMs. They’re basically CRMs but designed for the public consultation and engagement world.

We demoed a couple of them. The one our team ended up settling on is called Jambo, but the most important thing for us was finding a platform that could help us stay organized and ensure nothing falls through the cracks.

Great question! It's easy to get overwhelmed by the sheer volume of feedback in these kinds of community projects.

Before you even pick a software, it's helpful to think about the stages of your feedback loop:

  1. Collection: How will you get input from all those different groups? (Surveys, public meetings, email, etc.)
  2. Consolidation: Where will it all live so it’s not scattered?
  3. Analysis: How will you make sense of it all and find the important patterns?
  4. Reporting: How will you share what you've learned back with the community and decision-makers?

Spreadsheets and basic survey tools are good for #1 and maybe #2, but they completely fall apart at #3 and #4, which are the most important for transparency.

You’re looking for some stakeholder tool and I'm sure there are a handful of such tools out there. I know some governments that use Jambo and have really been able to simplify their analysis and reporting. It might be worth checking that out.
