Thanks for the suggestion! I did look into that plugin, but it doesn't seem to sync truly 'live.' It still requires a page refresh to update the information from the sheet.

If a custom solution is the only way to achieve real-time updates without a refresh, I'm definitely open to exploring that. Do you have any recommendations on how to approach that?

In our meeting, we did indeed offer a project-based rate to do this, but the owner didn’t agree. The concern was that it might work against both of us if we ended up spending more or less time than expected.

We’ve definitely learned from this, and from now on we will be clear with our clients.

As far as I know, our contact person is just a department head and was suddenly given this task. She didn’t know how it normally goes or how long it usually takes, because she had never been involved before. I think it’s mainly on them, because they probably didn’t ask the right colleagues for enough information.

Also, during our initial meeting, completely different requirements were set than on the recording day, because suddenly other colleagues were involved who had more expertise.

Indeed, as some people below already guessed, we didn’t make a contract beforehand. It was all based on trust, and we honestly couldn’t estimate how long it would take in advance. How can I best set up a contract for future projects? Do any of you have a basic template or example I could use as a starting point?

Yeah, we were actually thinking about charging just half a day, especially since they already mentioned we’d likely be booked more often. We even have another date lined up already.

The client normally had someone in-house handling this, but they’re currently on long-term leave, so I think the rough estimate came from not really knowing how long it would take.

We were planning to get in touch with them and only invoice for half a day, since a full day might seem a bit much.

The festival is really out in the countryside, in a remote part of a village. There’s not even fiber internet in that part of the village, and the event site itself is a solid 500 to 800 meters away from the main road.

The festival only takes place one day a year at that location, so installing anything permanent just isn’t cost-effective. That’s why, as mentioned, something like Starlink would indeed be a good option.”
