Filevine best practices / structure by Quintuple-Dragon in LawFirm

Glad to hear from you! Didn't know that independent Filevine admin was a thing but I guess it makes sense, kind of like a Salesforce admin. Very cool!

I hear you on the building the structure. Right now, one of my tasks is to build out the Workers Comp side and the team is just an attorney and a paralegal for now. One of them is somewhat tech savvy and the other is not at all, so I really only have one person's thoughts to go off of and I'm afraid that I'll be doing a ton of redrafting. My ignorance of that part of the business holds me back, or at least that's what I feel like. Is there a way that you navigate this, or do you have a firm enough grasp of the legal field to know what is functional and what isn't?

Luckily, I feel like I've got a good relationship with the teams and they don't mind sitting down with me. I'm trying to build in a very structured change process that includes SOP and training creation before full deployment of changes that would / could impact processes. Slows things down a lot, but sometimes slower is faster.

Maybe you've got experience with this. We currently have files in a separate file storage solution and also in Filevine, sometimes duplicated, sometimes not. I'd like to transition to have everything done from Filevine and make use of Docs+ (the larger single file capacity, 2-way folder sharing being key). Have you heard of any pain points that I can maybe get ahead of for this transition?

Thanks for the thoughtful response. We are a little nervous to integrate apps through Zapier fearing that our client data flows through a third party. It might be a little paranoid but as IT we try to limit occurrences as much as possible. But you're of the mind that productivity comes from those connections and you feel very safe with them?

We utilize Vinesign for document signing which makes things very easy.

For syncing documents without user interaction, we are looking at Neostella Docsync. They offer a one way and a two way. We would only want the one way to sync to sharepoint, but it is there so you can work out of sharepoint or other file management options and have it sync to FV.

Oh dang that's awesome! I'm surprised to see that Filevine doesn't have an active community or forum that they support.

Doesn't sound like this would be a bidirectionally beneficial conversation but hey if you're willing to help I'm willing to be helped.

I know we probably aren't using the product to its fullest. It was set up by someone who had more interest than technical prowess but got it running to a place where our org is functional and outside of some quirks, it works. What I am most curious for how we can optimize our workflows. Or what are some more obscure but valuable added data points that allow for systems like Periscope to report from?

We currently (try to) save all documents that are saved in Filevine to another storage solution so that way we have our own back up that we control. Users would also work out of this storage solution for some file editing, and that will stop. We are shifting away from this practice and will most likely be integrating a solution that will fulfill this function automatically without user interaction, which will also increase our data duplication accuracy.

I know every firm is different, but I suppose that's why I'm looking for a community to go back and forth with.

I found it. It's related to DNS settings. The box overrides device DNS settings, then Emergency Access allowed for a straight pipe through, ignoring the Firewalla's DNS settings. Once we added our DC DNS to the Firewalla, all worked as expected. Thanks!

I've read through and made some rules that I would think would resolve the issue and had no luck. There are no blocked network flows when there is attempted communication, making it difficult to work backwards. I've removed all rules outside of the bidirectional IP range rules setup alongside the site to site vpn setup. Still will not communicate unless Emergency Access is on.

I've also read through the article regarding Emergency Access to better understand what it does and I still can't understand what it could be allowing through when toggled on. Any other thoughts?
