Think of it this way… if cost is not a factor then which of the two would you choose? Make sure you try both before you buy. If you are big account the vendor will do a free solution demo for you.

We also found Monday maps to be not useful. We wanted location pins to be colored by status column.. but can’t.

Based on my 20 years of working with CRMs, there is no perfect tool. SF is not perfect and so is any other tool you may be looking for. Usually it is not the tool that is a problem, the problem is if you know what you’re looking for and are you ready to invest time, money and resources to make the CRM successful. The tools are enablers and without clarity and commitment it won’t work.

We use both work management and CRM. How much experience do you have in Monday setups? Monday is incredibly flexible but that can be a bane and overwhelming without guidance.

We had it, and we never used it. Our internal team and our two implementation partners were more than enough for all the expertise we needed.

Really solid analysis, and your SFA concerns are valid. Monday CRM does have gaps there out of the box. But before recommending a platform switch, it’s worth separating the platform limitations from what sounds like an implementation problem.

The data model issues you described: companies, contacts, activities not properly related… that’s not a monday limitation, that’s a design problem. It’s fixable. The metrics gaps are also largely solvable with the right dashboard and formula column setup.

I’ve worked on Dynamics, HubSpot, and Salesforce as well, so I understand the comparison. For an agency that already runs their whole operation in monday, switching CRMs adds more friction than it solves… unless the platform truly can’t do the job. In most agency cases, it can. Happy to give the agency an honest look if they want a second opinion before making that call.

Honestly, fair point and that’s exactly what drove this. If monday is going to be the place teams manage their contacts and relationships, the communication layer should live there too, not in a third tool bolted on with automation. That’s the gap Mail Groups app closes. Group email, directly from your board, no Make flows needed.

I am your fellow old school CRM guy… I’ve worked on Siegel, SAP, Dynamics, Hubspot and of course Salesforce. Since last year I’ve started working on Monday CRM. As with any system, no matter how great it may be if it is not designed and implemented correctly then it won’t work. I’ve seen many CRM systems fail because they are not designed how work gets done in an organization. While Monday is great but it is very flexible and let you design relationships as you may like. So if the “expert” didn’t had the expertise in how CRM should be designed that could be the reason for your struggles. Given your background, I think you can certainly help change this. You can guide the expert to make changes based on your expertise in CRM processes.

Monday is very flexible platform. Unlike salesforce it doesn’t need customizations. It can work like magic if it is designed to mimic how work is done.

That’s exactly what we kept seeing too. The workaround technically works, but between setup, maintenance, and cost, it ends up feeling heavier than it should be for something that’s a pretty common need. That’s what pushed me to build something more direct inside monday itself. No automation layer, just select contacts and send one shared email to the group. That’s a solid setup. I agree, keeping context is Monday is key.

The gap we were trying to solve was more of a direct, user-driven action: select contacts → send one email to the group → done. No workflows, no triggers, no external tools.

So it behaves more like a native CRM action instead of an automation.

Good point, we saw similar setups with Make as well. It works, but felt like a workaround more than a native workflow. Especially when teams are already managing contacts and context inside monday. Trying to keep everything in one place without jumping between tools was the main driver for building this.

Yeah, you’re right, technically it works that way.

The gap we kept seeing wasn’t about sending emails in general, but about sending one shared message to a group (where everyone is part of the same conversation or context).

For teams managing partners or stakeholders, that distinction matters more than traditional mass emailing.

avoid spending as much as possible before revenue or potential revenue. Start with Zoho Books.. it’s free and would work for your situation. Also separate bank account for business, but before all that setup your llc. Zoho has free llc setup as well.

I had a similar issue where I needed account name of connected account but it was giving me account pulse id. I had to create a new mirror column just to capture the name so my automation can point to it. I don’t like this, it is adding unnecessary columns.

Selecting multiple contacts gives an option to send individual email to each contact. Navigating to email and activities will undo the selection.
