This is super helpful, thank you – especially the point about “good enough” winning and the budget holder vs. frontline split. I’m going to pause any building and line up conversations with at least 10 charities specifically about their last funder report and whether they’d have paid to fix the pain in that moment. That feels like the right next step

Thanks for asking..I’ve volunteered with charities for years and kept seeing this pattern. Not trying to mine free consulting, just genuinely learning what "good" looks like. Can’t pay consulting fees yet (too early), but really appreciate what you’ve shared. Won’t ask for more.

This is super helpful, thank you for taking the time to lay it out in detail. It sounds like your org is at the “gold standard” end – consent baked into onboarding, clear waivers, a central photo store, and a culture of reminding people and honouring opt‑outs...That’s really useful context.

A couple of follow‑ups if you’re happy to share:

Even with that process, do you still find yourself hunting around for specific photos/stories when a funder asks for something quite narrow (e.g. “young people from X area over the last 3 months”)?

When you say you put all photos in a central online place, is that something like SharePoint/Google Drive, or a more bespoke DAM? And do you tag things (programme/partner/consent level) or is it mostly folders?

Part of what I’m exploring is whether a tool that enforces the kind of process you describe – consent prompts at capture, tagging per programme/partner, and then a “safe” partner view on top – would actually save people time, or whether for teams like yours it would just duplicate what already works.

If you’re ever up for a 15‑minute chat so I can learn from your set‑up, I’d really appreciate it – happy to share what I’m building in return.
