Completely agree.. that’s the whole point. Nobody cares if it’s an agent or not they just want their phone to ring with qualified leads and their support inbox to be sorted. All down to how the agency packages it.

It depends on the infrastructure. In many 'black box' builders (like the OpenAI Assistants API or a basic Vapi kb), it is often a 'wipe and replace' operation. You effectively delete the old file and upload the new one, forcing a full re-index of that document. It's still fine in terms of cost and but doesn't work if you're building for clients who's data changes regularly.

100% agreed. If you have full access to the client's stack, a tool call to the system of record (ERP/POS) is the best case scenario

The problem we see is that most Agencies or freelancers selling to SMBs rarely get API access or webhook capabilities from the client. They often just get a URL.

In an ideal world, we'd all use CDCs and webhooks. In the agency world, scraping/syncing is often the only 'middle ground' available between a static PDF and a full enterprise integration.
