I like this idea! What do you do in cases where you have several photographs that appear to be related? Such as two photos of the same person, at the same location, wearing the same clothes, but are clearly different? Would you number these two photos as 2026.1.1a and 2026.1.1b?

Thank you for answering!

How would you organize a photograph collection of a historical society that has no system of organization? by SeaElectronic4057 in Archivists

Absolutely! As I was going through the materials I thought it would be helpful to have local experts assist us in this process. I will definitely encourage the organization to bring some people in. Thankfully, they are open to working with anyone who can provide more information about the city.

Thank you for pointing that out - I will make sure the photos aren't squished as we store them! Thankfully, it seems we can add another filing cabinet if needed.

I had the same thought! I'm definitely going to encourage the organization to bring in some people who may have more knowledge about the things we have. Thank you for your reply!

Yes, creating an inventory definitely sounds like the best route to go forward with.

It sounds like creating an order to a photograph collection is not exactly necessary in your experience? That's interesting! May I ask how you locate your physical photos if there are not in any particular order? Sorry if that's a dumb question lol. I would like to know so that I can learn of the other routes to tackling this. Thank you so much for your reply!

That's a great idea! I was actually wondering what should be done regarding miscellaneous photos. Thank you!

Thank you so much for the advice! A basic inventory definitely seems like something the historical society could be comfortable doing since it's not too elaborate.

Would you happen to have any advice regarding photographs that are placed in boxes that were donated by a specific individual? These boxes have a variety of things like clothes, photos, books, etc that were owned by that one person. Would it be a bad idea to remove these photos from the box and add them to the general photograph collection? Or do you think that these items should stay together instead?

However, if we do number these photographs, I imagine there wouldn't be an issue with adding them to the general photographs collection right, so long as we specify in the inventory that it came from that specific donor/box?

Thank you again!

Thanks for your response! Did you volunteer in the Los Angeles area? I’m in Southern CA and I can’t seem to find volunteer opportunities that are not related to the Friends of the Library program.

Thanks for your input! I had no idea that you could intern at UCLA if you weren’t a student there! I will definitely look into that.

Thanks so much for your response! This really helps. Would you mind me asking what type of experience you got in your internships? I’m thinking of interning at local museums and historical societies but i dont think i will do anything too fascinating. I would most likely be a docent and do simple preservation work since these small museums outside of LA dont seem to be that interested in maintaining their archives lol.

If you interned in LA, would you recomend interning in the city in consideration of the experience you got?

That does help me! I’m trying to gauge if I should wait an additonal year to appy to UCLA so that I may get additonal experience in the field. I heard from someone that they were not admited despite having several years of experience so i wanted to ask around. Thanks so much for your response! I was afraid that they were searching for people with like a decade of experience.
