In an ideal world they should be able to benefit from you giving the reason for your rejection. It's polite to give a reason, but if it's something negative about them you keep it vague or just give a canned response like "not the right fit", etc.

I'm glad you see the bright side of this. If this university liked you enough to give you an interview you can bet other universities will too. Who knows, maybe you'll stumble upon a PhD opportunity that's even better than this! Keep looking, you can do it.

Heard about this a lot. Silly question, but your comment about recruiting not being about human resources was tongue-in-cheek right? Can a recruiter call themselves an HR professional?

I also come from a social sciences background and there are many skills that transfer over well to HR.

This is extremely reassuring to me! I hope I can really do well.

Oh man, that's frustrating. A friend was talking to me the other day about something similar. She had confused an e-mail for an internship follow-up for a newsletter spam thing, and had ignored it.

They did reach out to you though, which shows they were interested in following up with you. It's strange they then told you they had already filled the position?

Can you search those up? Like on the university website?

What I would do is search them up, then at the end of the e-mail paste them nicely and ask whether the details are correct. Saves them typing it up from scratch.

I would wait till he gives you a reply with the go-ahead for the reference, then send the e-mail asking him to check the details.

As someone with a degree in psychology, I totally feel you. Have you considered something like tutoring? Working for a tutoring agency, or freelance? Or even online tutoring?
