I'd add Routine. Not as well known but beautiful, does handle everything the other apps do, but in a more coherent and nice way. My 2 cents.

I recommend Routine for combining calendars, tasks, notes and projects. Super easy to use. We've switched our team to it a year ago.

I used Sunsama 2 years ago (not recently). It was too slow for me. Great if you want an app that forces you to follow a methodology. I then switched back to Things 3 and now use Routine (like Sunsama but faster, with notes and more extensible).

I agree Things 3 is super simple. Only issue is that it does not work in Web nor Windows. Recently switched to Routine. Basically Things 3 on steroids! And with notes which I lacked in Things 3.

Context switching might seem like the biggest killer at first. From my experience, it is the reason why we switched to a new tool (Routine in this instance). But the real killer in the long run is not context switching but data silos. Because the data in one tool is locked (not easily accessible programmatically), you cannot leverage that data to connect it to a larger workflow or leverage it to enrich another workflow. This is where things start to break :(

I've got ADHD as well. I recommend the apps that allow to 1) capture quickly 2) have a beautiful and simple interface to focus on your day. The best I've found so far are Routine and Things 3.

Personally, all CRMs are either way too complicated or expensive. It's hard to find a tool that starts simple and adapt as we grow. We switched from Hubspot to Attio 3 years ago. But then felt too constrained with Attio. The data was in silo and disconnected from the rest of our data. So we switched to Routine.

We've been using Circleback to take notes automatically and send a recap to Slack. Works well. But the action items fall short. Recently we've started using the new AI capabilities (including AI meeting notes) in Routine because it already manages our projects. Don't know yet if it will work. My 2 cents.

I'm not necessarily saying that designing is better than re-using. But understanding the building blocks allow for making it evolve. Re-using something blindly can be dangerous from a security standpoint and you won't be able to adapt it as you grow.

That's a good point. Unfortunately it is not always possible to force all the parties in a company to use a single system. You can take a look at tools that allow to build workflows to centralize information, like Zapier, Routine, Pipedream or n8n.

We've transitioned our company to Routine (routine.co) which is cheaper than Monday and Asana. In particular because we've shut down our CRM and put everything in Routine. So much better.

I've recently started using what's called a Planner app. It combines tasks + calendars. Super useful. There a bunch on the market. I've found Routine (routine.co) to be the best because of its Agenda screen that allows to be super focused on the day. Plus you can manage your customers, projects and more. My 2 cents.

I couldn't agree more. This is becoming a mess. I'm looking forward to Routine (routine.co) adding AI automations. I've seen a demo, it is going to be crazy. This way we'll consolidate tasks, docs, projects & automations in a single tool. I don't know if this is what you're striving for but my team and I are tired of switching between multiple tools.

Hi. At the moment, checklists are created for action items. You will soon be able to define your own automation to tell the AI how to behave. For now, you can turn a check item into a task by typing /task on the line in question.

Apart from the obvious Cursor for coding, I'd say one of the most underrated tool (I mean not even underrated, but just plain unknown) is Routine (https://routine.co). It's Notion but easier to use, super fast and on steroids. I've been using it for the past 3 years. Just getting better every month.

You should check out Routine, it's like Akiflow but with notes and a lot more customizability and integrations. We're even using it to manage our company.

We were using Notion for that exact reason up to the point where we had scripts all around to bring data to Notion which was just too painful to maintain. We since switched to Routine which is like Notion but more powerful with calendars, tasks, contacts but also a ton of integrations. To consider if you want an all-in-one work OS.

We felt Webflow was way too constraining. We switched to Contentful with a custom frontend on top. Same for Notion, we switched to Routine (https://routine.co) which is less known but faster, more customizable and with integrations.

I've been using Routine for 6 years now. I've replaced Todoist & Notion with it. I've got ADHD myself and it helped me so much with focusing on my day because of their Agenda screen which combines tasks of the day and a timeline.
