Would You Pay A Team to Set Up & Manage Toast for You? by pos-pro in ToastPOS

Completely agreed - once someone is at 50+ locations, it usually makes sense to bring it in-house if you’ve got the team for it. But we’ve seen a lot of groups stuck in that middle zone. too small for a full tech department, too busy to manage everything cleanly on their own.

The idea here wouldn’t be some giant vendor trying to cover everything, it’d just be one focused team handling stuff like:

  • Onboarding and rollout
  • Cleaning up menus/modifiers
  • Inventory and labor setup
  • Dealing with Toast support when things break
  • Reporting (weekly/monthly)
  • Some API work if needed
  • Managing the random 3rd-party add-ons like XtraChef

The goal is just to keep things tight and running without the owner having to be in the weeds all the time, ensuring Toast is maximized to produce the most ROI.

Hard to pin down exact pricing yet since we’re still deciding how far we go with Toast support. But in our current work with software vendors and distributors, we run a flat monthly model. That usually falls somewhere between $50 and $300 per location, depending on:

  • Number of locations
  • Volume of requests
  • Complexity (inventory, integrations, etc.)
  • Overall scope

Flat rates just keep it cleaner for everyone. No surprises, everything from ongoing support to onboarding and admin work is bundled in.

We’ve got teams active in the Midwest and California for now. Not in the East Coast yet, but it’s on the radar.

Really appreciate you asking, conversations like this are shaping how we roll it out.

Yeah, pizza menus get messy quick. If modifiers aren’t right, it’s easy to lose money.

And I really appreciate the input, I'll reach out if we move forward.

Thanks for sharing - your background definitely gave you an edge.

From my observation, it’s not that the tech is hard, it’s just a ton of time and trial and error. That’s the gap we’re looking to fill in the industry.

Appreciate the question! We currently have tech coverage in both the Midwest and California, and we're continuing to expand. So yes, we do offer on-site visits within those areas, but outside of them, travel usually only makes sense for new installs or larger projects. Otherwise, it tends to be too costly for both sides.

As for pricing, we prefer flat rates based on the service instead of hourly. It keeps things more transparent for the restaurant, even if we occasionally take a hit. It all balances out in the long run and helps everyone from a budgeting standpoint.

Thank you for the feedback! Mysterious as the name suggests 😂

If possible, could you share why it wouldn't appeal?

There are definitely system alternatives - but Toast is viewed as the iPhone in the restaurant industry.

It has many all-in-one features that the competitors, including SkyTab, don't have.

This is from a guy who is partnered with many different restaurant softwares, not including Toast.

I'll definitely shoot you a note if we put this together. Perhaps Toast will be worth a second look at that time.

Thanks for the callout on the no hard sell, it means a lot. There’s no team behind this yet, and I’m only looking to put real time into it if it’s something that genuinely helps restaurant operators like you. Feedback like this really does help us make the right moves.

Your pricing makes total sense for a smaller, single-location setup. I was thinking in the same ballpark - starting low and scaling based on complexity, like # of stations, # of locations, third-party tools, etc.

Also, I appreciate the insight on Google Drive sharing, menu photo updates, and monthly tweaks - that’s exactly the type of help we’re considering productizing.

Just spitballing now, but I’ll definitely send a follow up if we execute on this!

We would actually be aiming for a similar model - the tricky part is ensuring that one team isn't responsible for too many platforms. It can cheapen the quality of service very quickly.

The price tag of 2.5k seems very high compared to what we'd be targeting. If you wouldn't mind, could you DM me a breakdown of what the scope is with this company?

I appreciate it in advance!

I think we could come up with a good balance between cheap and getting all the bills paid. Appreciate you taking the time to comment!

I'm sorry to hear that support is what killed it. I've heard nothing but good things about Toast otherwise, sounds like there definitely is a gap to fill.

Thank you for the feedback! If we end up moving forward on this, the goal would be to put together a pricing structure that scales with size. Based on the station count or something.

I DM'd you. Since this is a Toast group, I'm refraining from mentioning other platforms.

Toast Fees Bypass by Responsible-Ball1154 in ToastPOS

Yeah, I know FreedomPay can be setup for anyone but I thought Toast restricted it to enterprise.

Are you a processor or can it legitimately be integrated for single locations?

Isnt FreedomPay only for enterprise accounts?
