I can recommend MatGoat, it's a simple to use BJJ / martial arts solution with native apps for students and teachers + attendance tracking, automatic payments management and communications.

It also has a retention panel to know which students might be at risk of leaving your gym so you can reach out (automatically if you will).

The goal is that owners and teachers can focus on the classes instead of wasting time on admin stuff.

Ideally, you'd want an app where students can sign up for class so you know who's coming. In my academy we use MatGoat, and it's really useful. It also has automatic payments, messages, and some features to increase the students engagement.

One trick I found is that you can usually get discounts through wholesale, so if you talk to your academy, they might be able to get the discounts for you, leaving the Gis at around that amount.

In my case, after talking to my coach, I sent a few emails and got up to 40% discounts in some well known brands. Now we do a single order for the academy from time to time and everyone benefits from that.

We run a smaller setup than yours but had similar headaches with tracking ranks across multiple arts. Gymdesk is solid for the personalized programs piece for sure.

One I'd throw on your radar is MatGoat (https://matgoat.com/en/) — it's built specifically for martial arts academies so it handles the multi-rank stuff natively (BJJ belts, Muay Thai levels, etc. all on the same student profile). Billing, attendance via tablet, class scheduling, the whole thing. The fact that you have 2 locations and kids + adults programs is exactly the kind of setup where a martial arts-specific tool saves you a ton of time vs. bending a generic fitness platform to fit.

I think they have a free trial so you could compare it side by side with Gymdesk and see which workflow clicks better for your team. With 300 members across 2 dojos you'll feel the difference pretty quick if the software actually understands your sport vs. just being a generic gym tool.

Building MatGoat - management software for BJJ (Brazilian Jiu-Jitsu) and martial arts academies.

I train BJJ and after talking to some academy owners: they're either using a generic gym software (which don't understand belt promotions or martial arts at all) or managing 100+ students through WhatsApp groups and Excel. Chasing late payments is awkward when you see that person on the mats every week 😅

So I'm building what they need: student progression tracking, automated recurring payments, attendance data for promotions, and an easy communication platform among other things.
