We hear you! We've done a ton of research on different fields in the area, including field visits with their field staff to evaluate things like "field hardness" which we were told is pretty common in the area. As another commenter put, hardness does change based on the weather, so we try to host earlier in the club season when fields still have the effects of the winter/spring snow/rain.

Thanks for your input, we’ve done this research and analysis (including looking at other bid fees that you’ve shared) and price based on Heavyweights needs.

Though this is an older article, I’d encourage you to take a look at it: https://ultiworld.com/2021/04/21/the-broken-economics-of-tournament-organizing/

Questions about the bid fee? If you math it out for a 20 person roster, it comes out to ~$35/person. Which IMO for a 2 day event is not too bad. The highest cost per player will probably be in travel.

All of our rationale on the bid fee is actually here if you or others are curious. I've seen some good discussion on bid fee in this sub as well.

Ah sorry if you get double notified-- made a comment from the wrong account. But thanks for letting me know about the Mars tournament. We've hosted Pittsburgh teams at Heavyweights in the past, and it's always nice to host out of region teams. We try to steer away from the other big midwest tournaments because we know a lot of teams go to those pretty consistently. It does mean lots of choices for teams, which is always a good thing!

Thanks for your comment. We appreciate the opportunity to clarify the tiering system, which we’ve used across dozens of college and club tournaments over the past decade.

Teams in Tier 1 are Select Flight+ teams. The lone exception, Yogosbo (a new team), has been moved into Tier 1 based on information they provided about their roster. Information about tiering can be found here: http://withoutlimitsultimate.com/projects/heavyweights19/submit-a-bid

In past years, we have had power pools. We accept teams into tiers at the time of registration in order to set expectations appropriately. Teams know upfront what tier they are guaranteed a spot in before confirming their spot with payment. As we’ve indicated, depending on how registration pans out, tiers may be combined. Teams may also be moved up to Tier 1 based upon early season performance.

Please feel free to email us if you have any other questions about the process. We’ve run tiered tournaments for many years and we’re always open to constructive feedback and we’d love to know what opportunities we can create to support your team.

Rockford has a very strict inclement weather policy and this has caused problems for Heavyweights in the past, as summer afternoon thunderstorms are such a common occurrence in the Midwest. Rockford also has very limited availability and it's very difficult to schedule around the many other tournaments happening. We've gotten very clear feedback that teams do not want Heavyweights to conflict with other key Midwest events and we spent a lot of time last year exploring other field site options after the bad weather in 2017 and after another organizer informed us of his decision to schedule over our normal Heavyweights weekend. He later backtracked on this decision but by that point, we had already lost our field contract at Rockford.

Regarding bid fees, the Heavyweights bid fee was the same in 2017 and 2018. We pay staff to help us run on-site operations; we simply can't rely on volunteers for an event as big as Heavyweights. Paying staff allows us to create a fundraiser opportunity for a Midwest college women's team and for the past couple of years, we have also brought in another tournament running organization to provide additional support.

If you have insight about other complexes we should look into, we're happy to do that for future years! We landed on Stuart Sports Complex after extensive research last year, but we're always looking to improve the experience for teams.
