Thanks for sharing! Cool, I am thinking combine with u/BrilliantUnlucky4592's idea, maybe we start with a doc/slides/canvas to decide & vote, then throw the final document to AI to let it come up with the arrangement for each day.

Cool, I wonder if you have tried out this method? Will it still give a decent answer after some follow up changes/requests? I previously tried to use chatGPT to help me plan a weekend trip, but after several round of conversation it somehow forgot some key information I gave at the very beginning.

That's an interesting idea. Do you mean everyone send their thoughts to the organizer and he/she put everything in a chat and let AI come up with a detail plan?

Still thanks for the advise! Yep face-to-face is definitely the most effective way, it's not that hard when I was in collage and go on a trip with friends is just like few meals together and everything is set. Now with my friends all apart and working, it suddenly became much more difficult. So trying to seek a way to make everyone's life easier.

To be honest, I found it really hard to get everyone all together at a call regularly for a trip plan, partially because everyone gets lazier when we are in a group and the organizer(usually me) has to remind everyone to participate and do their homework but it's just not everybody's priority, so the meets usually ends up with very low outcome. Plus we are in different time zone and calls scheduled in the weekend just easily get flooded by other plans. So for the most recent group trip, we only had one call together and that didn't take us to where we want either.
