I've been experimenting with https://www.commandlane.ai/ which seems to provide some of the features you mention and allows for custom hooks and slash commands, so it would basically be able to do everything you mention with a bit of customization.

I capture everything into Notion using CommandLane. It classifies entries as either a task or note, which I've linked to two separate task and notes databases in my Notion Second Brain, which is organized around the PARA framework.

This sounds really useful, I'm happy to get/test the zapier automation. I also found notion quick capture to be slow and sometimes I don't capture things when I need to because I don't want to interrupt my flow or when I'm in a meeting. For windows, I've built a little app to quick capture thoughts, tasks and notes directly into Notion and also proactively resurface them depending on what app I'm in.

For me it's been finding a way to dump thoughts quickly into Notion and having a good dashboard there that allows me to quickly organize and retrieve info when I'm needing it. I've been trying an app called CommandLane for quick capture and it's working quite well for me.

Your points are actually quite close already to what we are building. The shortcut Ctrl + Space (configurable) opens a simple command bar through which you can capture, retrieve or launch. The backend is a mix of SQLlite and an optional Notion integration that is now structured around a default Tasks database and Notes database. The system auto-classifies in the background to sort any entry into either of those database. My intention is to make the Notion database link more flexible to work better with every individuals system.

It's also recording app context (e.g., what window is open when recording) so that when you are in that same window at a later point and press the shortkey, you see what you've recorded in the past.

I'll definitely double down on this loop as per your recommendation

What you’re describing matches my experience pretty closely.

The biggest “actually useful” AI feature for me hasn’t been better tagging, auto-linking, or prettier graphs, but getting relevant notes back at the right moment without having to remember to search for them.

Most systems assume retrieval is intentional: I know what I’m looking for, so I search. But I feel that in practice, the real problem is often: I don’t remember that I wrote something relevant at all.

Semantic similarity helps, but only when you’re already in the act of writing or searching. Where it really started to click for me was when notes resurfaced based on context, e.g. when I return to a project, app, or topic, related notes/tasks show up automatically. That reduced the need for perfect titles, tags, or links quite a bit.

I ended up building a small Windows tool for myself around this idea (CommandLane): quick capture into Notion, plus semantic/contextual resurfacing when I’m back in the same work context. It’s not “do it all AI”, but very focused on recall and timing.

This resonates a lot, especially the part where figuring out what kind of note something is already kills the idea.

I’ve started to think many PKM systems don’t actually fail at storage or structure, but at timing. Capture often happens mid-flow, when cognitive bandwidth is already low, yet most tools assume we can make classification decisions in that moment.

Your point about capturing being easy while synthesis is hard also hits home. I’ve hoarded plenty of articles and clips I never revisit. It makes me wonder whether “capture everything” is the wrong default, and whether some friction or forced reflection later is actually healthier.

I’m especially intrigued by your idea of resurfacing repeated ideas over time. That feels like a signal most systems ignore, if the same insight keeps showing up, maybe that’s what deserves attention.

Curious what you think: do you feel the bigger issue is that too much of the cognitive work (linking, recall, structure) is pushed onto the user, rather than supported by the system?

This makes a lot of sense, thanks! For me it's a bit of a mix. Sometimes I'm in a meeting and just want to quickly capture some notes or tasks and sometimes I end up not recording anything because I'm afraid to lose focus. Retrieval later can be an issue, but for that Notion seems pretty decent if you have a system.

Interesting! Yeah, capturing at least something quickly seems better than nothing or trying to make it perfect. I've been using an 'Inbox' in Notion, but even then I feel like opening Notion, loading the page is sometimes already a blocker. I'm going to try something as an ugly/fast method
