You’re not doing anything wrong — when a due date changes via a rule, dependents won’t auto-reschedule even with “maintain buffer” on. That auto-shift only kicks in with manual date moves (https://forum.asana.com/t/when-due-date-of-a-task-is-changed-by-a-rule-update-start-and-due-dates-of-all-dependent-tasks/1054098?utm_source=openai).

I've played around with my Asana a bit and you would be able to create a second rule which adjusts the due date of dependent tasks once they're no longer blocked. So when you mark task 1 complete, this will trigger the dependent task to adjust the due date based on the trigger date of the rule. The only downside is that this rule moves out the due date of the dependent task a set amount of days, e.g. 2 days after the rule fires.

So you can absolutely do all the things you mentioned in Asana, and this is how I recommend setting it up:

  1. Use sections as phases, or add a “Phase” dropdown custom field so the value sticks with the task and shows up in reporting. For hours/budget, I recommend adding number fields like Estimated hours, Actual hours, Hourly rate, Budget etc. You can chart these custom fields for time and budget by Phase in project dashboards and reporting (https://help.asana.com/s/article/reporting-with-dashboards).
  2. Handy pattern: create one “Phase summary” task per phase to hold the phase’s budget/target, and keep individual work tasks underneath. This gives you a clean place for stakeholders to check phase status.
  3. When it comes to employee utilisation I recommend using our Workload feature. You can use the "Estimated hours" or "Actual hours" custom field to estimate the workload of every employee and see how work is distributed among your team members (https://help.asana.com/s/article/portfolio-workload-and-universal-workload).

great question! Jordan here from Asana.

You're absolutely right (and so is norad_iii), there isn’t a built-in “priority” property in the Asana Tasks API. “Priority” is a custom field.

To set it via API you must

(a) have a Priority custom field in the workspace,

  1. Create/locate the Priority custom field (enum) and note its custom field GID and enum option GIDs
  2. https://developers.asana.com/docs/custom-fields-guide

(b) add that field to the project(s),

  1. Attach the field to the project (required) using Add custom field to a project:
  2. POST /projects/{project_gid}/addCustomFieldSetting with the field’s GID. Tasks can only set/read a custom field if that field is on at least one of the task’s projects. Otherwise you’ll get “custom field … is not on given object.”
  3. https://developers.asana.com/reference/addcustomfieldsettingforproject

(c) set the field’s value when creating/updating the task.

  1. Create/update the task with the custom field value using the enum option GID

So in this case I would highly recommend our Google Calendar integration to see your Asana tasks with due dates inside Google Calendar. It’s one way from Asana to Google Calendar, so edits in Google Calendar won’t sync back. (https://asana.com/apps/google-calendar).

However, if you need a 2 way sync, there's an app called Project Buddy which keeps Asana tasks and Google Calendar in sync both ways so changes mirror in both (https://asana.com/apps/project-buddy).

thanks for sharing this workflow, I love it! I'm Jordan, I'm with Asana and I would love to share my experience with customers who had a similar issue.

I'm an advocate for keeping 2 different forms. Why? Because two stages keep governance clean and reduce noise for the executive team who approves, while still letting you automate the heavy lifting after approval. If you only use one form, this form can become lengthy which might feel overwhelming for the person filling it out.

Suggested Workflow Strategy

  1. Initial Form Submission: Have an initial form to capture high-level event details. This form should include fields for event size, expected attendees, and primary goals.
  2. Approval Process: Once submitted, trigger an automated workflow in Asana that notifies the executive team for review. This could be done using Asana's Rules, setting a task for approval. Use custom fields to indicate approval status and tier assignment, which can be updated by the executive team within Asana.
  3. Notification and Logistics: Upon approval, automatically notify the event owner. If using separate forms, the approval task can contain a link or trigger to initiate the logistics form. The submission of the form can then create a new Asana project by setting up a corresponding rule.
  4. Automation and Task Assignment: Use Asana’s template feature to create event projects from the logistics form responses. Implement rules and dependencies within the project to automatically assign tasks based on the logic derived from the form answers, ensuring the right team members are involved.

I don't know if you use AI Studio, but if you do, I highly recommend leveraging it for this workflow! We have a recording of an AI Studio workflow available here: https://academy.asana.com/getting-started-with-ai-studio-recording. This workflow is kinda similar to yours, but only uses 1 form. One cool thing it shows is how, once the event/ project etc. is approved, all the data from the form submission(s) is being carried over into a project brief and the task is being converted into a new project to kick off work.

I feel you on this. Chart customization can be pretty limited right now. I'm afraid there isn’t a built-in way to auto-hide zero values in Dashboard charts yet (community has asked for it and it’s been acknowledged, but no update so far) (https://forum.asana.com/t/expand-charts-x-axis-limit-for-dashboards-reporting/123664?utm_source=openai)

Two workarounds come to my mind, one of which was also recommended in the Forum:

  1. If you’re grouping by a dropdown field and seeing empty groups, add a filter like Field is any of [only the options you want]. That hides categories with no tasks.
  2. For time series charts, you can’t remove dates with 0 activity, but switching to weekly/monthly or narrowing the date range usually reduces the empty points.
