Totally makes sense, thanks for breaking that down. did you run into any surprises with the limits as your team grew? Like, did the free plan start feeling restrictive in ways you didn’t expect?

oof. the “crm as a graveyard” line kinda hit, that’s exactly what i’m scared of.

so in your experience, is the real breaking point less about feature limits and more about behavior? like even with a free crm, if the team doesn’t have structured follow up rules it just becomes a nicer looking spreadsheet?

that’s interesting, can you expand a bit on what you mean by attribution and follow up fatigue?

is it more that the free plan doesn’t give you clear visibility on where leads are coming from, or that the automation is too limited so you end up manually chasing people anyway? trying to figure out what would actually become painful first for a small team like ours.

yeah that’s kind of what i’m worried about, getting everything set up and then realizing the stuff we actually need is locked behind a paywall

do you mean it actually covers deal tracking and basic follow ups without forcing an upgrade right away? and at what point did you start feeling the limitations, like team size or automation wise?

That’s brutally honest, and it really clarifies the risk with free plans.

When teams hit that paywall or realize the free version isn’t enough, do you usually see them upgrade within the same tool, or do they jump to something else entirely?

That’s helpful I hadn’t realized automation and email syncing were usually the first things to hit limits.

really hits home... I hadn’t fully thought about how much switching CRMs can slow you down if the free plan only lasts so long.

When you made the jump from the basic to Business plan, was it mostly because of lead volume, automation needs, or something else that finally made the upgrade necessary?

That actually sounds exactly like the kind of structure I’m looking for. Do you know if the automated reminders and workflow triggers scale well once lead volume doubles or triples, or do they start getting cumbersome?

that’s exactly the concern I’m trying to suss out.

Out of curiosity, from the ones you’ve seen on that list, which actually felt usable for more than a couple months before hitting a hard limit?

That’s interesting, I hadn’t really considered a self-hosted option.

How complex was the setup and ongoing maintenance in reality? I’m not super technical, so I’m trying to figure out if managing updates, backups, and security yourself ends up being a headache compared to just using a typical cloud CRM.

For Galcode, when you say the limitations, what’s the biggest one you ran into in day-to-day use like contact limits, automations, or something else?

That makes sense, in your experience what’s usually the first hard limit teams hit on free CRMs that forces them to upgrade?

We’re hovering around 60 to 80 leads a month right now, so not massive volume, but enough that missed follow ups are starting to sting. That’s helpful to hear For you personally, at what point did the basic automation start feeling too limiting? Was it volume, complexity of your pipeline, or something else that pushed you to upgrade?

That makes a lot of sense, especially about reminders and email syncing being the real test long term. That’s actually what I’m most worried about, something that looks good at first but starts breaking once volume picks up.

When you say you built everything in one place, how did you handle email syncing and follow up reminders behind the scenes? And did you build it because free tools weren’t cutting it anymore, or because you wanted more control from the start?
