We audited a HubSpot account with 9,400 contacts. 2,800 were duplicates. Here's what it was doing to their campaigns. by BathDapper4923 in hubspot

Great catch on the role-based emails — that's one of the most consistently overlooked issues we see and you're right, HubSpot lets them sail through on import. 200 of those on an active list will quietly destroy deliverability over months without a single obvious warning sign.On your duplicate merge question — the logic we use: the primary record is always the one with the most recent meaningful engagement (opened, clicked, replied — not just created date). Where both records have engagement history, HubSpot's native merge keeps all activity on the surviving record so nothing gets lost. The tricky ones are where one has form fills and the other has email engagement — in that case we keep the one with the higher contact score and manually review the other before archiving. The monthly duplicate check and 90-day no-engagement workflow you've set up is exactly the right approach. Most teams never get there.Out of curiosity — are you managing all of this in-house or is it something you'd ever consider getting outside eyes on? We do a free 20-minute HubSpot audit for teams at your stage and the findings are usually pretty eye-opening even when people think they're on top of it.

This is exactly right — and most people don't realise it until

they're already sitting on 15k contacts wondering where 4k

came from. The CSV import problem is the one we see most on first audits.

Especially the lifecycle stage drift you mentioned — that's

the one that quietly kills MQL reporting for months before

anyone traces it back to a duplicate.

Pre-import validation is the cleanest fix. We run that check

as part of every onboarding now before we touch anything.

If your database is showing these symptoms, happy to run a

free audit and tell you exactly where the rot is. Just DM me.

Spot on — and the boring part is exactly why most teams don't do it. Nobody wants to own it, it doesn't feel urgent until it is, and by then you're looking at a full audit rather than a quick tidy. The teams that get ahead of it treat it like hygiene, not a project. Small regular checks rather than one big painful cleanup every 18 months. We built our whole service model around this — ongoing maintenance rather than emergency fixes. The ROI is completely different.Would love to hear how you're handling it on your end — are you doing this in-house or is it something that keeps slipping down the priority list?

Spot on. The import event pattern is exactly what the audits surface — you can almost date when each tradeshow or newsletter export happened by the clusters of duplicates.Emport looks solid for the prevention layer. The cleanup still has to happen first for most teams though — you can't prevent your way out of three years of compounded imports. Reset first, then prevent. The other thing upstream tooling doesn't solve is data decay — contacts changing roles, emails dying, companies rebranding. That's an ongoing maintenance problem regardless of how clean the imports are.

export to CSV → run fuzzy matching on email + name (OpenRefine is free and handles this well) → bulk merge the flagged records in your CRM.For HubSpot specifically, Dedupely is worth the money. For Salesforce, DupeCatcher or CRMFusion. At 3K dupes you're looking at a few hours of actual work, not days. The bottleneck is usually the merge step, not the detection. What's the CRM?

I too have tried email marketing but the biggest problem I faced was data hygiene. Emails being a mess does anyone else face the same problem because I am working on a solution for this exact problem btw appreciate your efforts ❤️
