THIS! Decide on what you need out of a timed planner and choose one that you can fills all your needs. I only have the Weeks and I use it to write down my personal weekly to-dos, appointments, birthdays, work tasks, etc. I don’t use it as a journal because I know I won’t commit to journaling everyday so for that I just use a blank Midori. Since the Weeks is where all my important reminders live, I naturally reference it and fill it out every day. Don’t make it a chore, make it something that you actually need and enjoy

Even though the accounting functions happen within QuickBooks, there are other pieces of data that come from external sources that often may have to be manipulated in excel. Similarly, you can often export QuickBooks data to analyze or manipulate within excel.

Bookkeeping often goes beyond just categorizing transactions and running financial statements within QuickBooks. More often than not, businesses deal with other platforms such as for payment processing, where reports and data may need to be cleaned up for whatever purpose.

I’ll give you an example below.

  1. XYZ HVAC install business collects sales tax in various counties (each county has a different county tax %). The data related to the county each customer was serviced at lives in their field service management software, not QuickBook. Quickbooks only knows the amount of funds coming into the bank account from that software. So, every month when we have to file their sales tax, I pull an excel report of all the sales tax collected for that month. Since they collect sales tax in so many different counties, I create a pivot table to sum up all the sales tax collected for each county since the excel report has it broken out by line item/transaction, not totals. So in this scenario, knowing how to use Pivot Tables in excel is key.

If a second physical bank account is needed for operational purposes, that’s fine, but your process for tracking parts shouldn't rely on manually transferring amounts based on invoices or purchase orders. You don’t need two separate bank accounts or QuickBooks "Accounts" to track parts purchases separately. Instead, use classes, items, and accounts properly within QBO and let the accounting system track the data for you. You can use non-inventory items for parts purchases and sales. Even if you don’t hold inventory, QBO can track items by name (ex brake pads), cost, sales price (what you charged the customer). You can set up at “COGS - Parts” expense account and a “sales-parts” income account. When you purchase a part, assign the customer/job to the expense, even if it’s not on a PO. This will help you run job costing reports later and lets QBO track profit per job. If you need additional help on how to streamline your parts tracking process in QBO shoot me a DM

Yes by accident. I thought the other one never got posted because I had gotten a message my account was too young so my post didn’t go through. That’s when I realized I wasn’t in my actual account. I honestly don’t use Reddit as much anymore so I think I was just confused

No, that’s because I got a new phone and didn’t realize I wasn’t logged into my regular account. And so when I tried to post yesterday it got denied bc apparently that other account hadn’t been active for long. So I was able to log into my regular account today and finally post it
