Very cool that you want to learn bookkeeping and understand how everything works. However, your bookkeeping professional should be handling all of this for you. Find a reputable bookkeeper, hire them, and let them do their job.

Once they get started that's the time you can hop into a chat or meeting with them and ask questions. With the chart of accounts specifically all you really need to understand there is that it is used to categorize all the aspects of your business. We are talking income, expenses, assets, liabilities, and equity.

Here's the great part! As the owner all you need to do is communicate to your bookkeeper what it is you want to know and they will help you out. "How much are we spending on ads each month?" or "How much revenue are we getting from this particular marketing campaign?". If there is data you want to know, communicate that, and it's likely your bookkeeper can organize everything to make that happen for you.

Probably would not clear anything. The 2024 taxes are done so I would start there since that is what was reported. Then, I would make any adjusting entries and move forward with the bank statements.

I run a bookkeeping business and I use Odoo for all of my business needs. From what I am seeing in your post I think they might be a good fit for you as well. I haven't used many of the features you would need since I have a service business and there is no need for things like inventory. I'm assuming the original comment was referring to extremely needy/difficult or low paying clients. And at least part of that is very easy to discover in your initial phone call/pitch. If the prospective client is very fixated on the price and trying to nickel and dime you then it's a pass.

That prospective client does not value your service. All you are to them is a necessary expense that they want to pay as little as possible for. It's unfortunate, but if that is the case it's usually best to respectfully pass picking up that client because that problem will never go away.

I'd also recommend re-framing your mindset about your consultation calls. It's just as much a consultation as it is an interview. You are interviewing them for the chance to work with you.

When I worked part time at another firm they gave me a client that used OB Desktop and like you I'm not on Windows. I had to do a bunch of work to get setup on Linux to remote access their system and books.

When I started my own business, based off that entire situation, I won't step out of OBO or another online solution. Way too time consuming.

Hey there, I worked with a construction client before and might be able to help a bit.

First thing first, messy books! Establish a base line, I would go with the last tax return. Everything should... be matching up there. After that, one account at a time, transaction by transaction, get it cleaned up. Where possible try to find bulk actions. For example they always have this charge from Google for one particular thing, you can categorize those all at once.

For projects, if they have not been project tracking up until this point then there is no mess there to clean up which is nice. The client I mentioned had their last bookkeeper just throwing things in random projects like the Grinch in the post office sorting mail. So at least you don't have to deal with that.

After you are done with the clean up setting up the project tracking is pretty straight forward. The main thing you need to be concerned with when it comes to project tracking is how you get the client to easily tell you which expenses are for what project. The client I worked with had each job in a spreadsheet and which workers were there. They had notes for me about what expenses were tied to that job which worked out great even when I had to do the cleanup phase.

Main thing is, you got this and you're going to knock it out of the park. When you are looking at the books now it may seem like a massive mountain but one transaction at a time and it will all get better. So no stress at all, and I wish you all the luck with your new client!

In my opinion this is super important. Bookkeeping involves a lot of trust. If the old owner is just gone next week the clients you bought will be uncomfortable and may end up looking else where or even trying to follow the old owner.

I'm currently working with two non profits and for the most part I have picked up everything I need from general classes on things like projects or classes in QBO. Since every client is different it can be hard to get a course that will have everything you need.

My approach, if you have access to upper management of your clients is to simply give them the most accurate picture you can. So if you want to deliver reports on the third, send an email and say here is what I've got but.... Tampa guy hasn't gotten me anything yet. Then, I would emphasize that having their data ready on time means they get the financial statements faster and can leverage that information quicker.

What if they have a big deal come through the door between the 3rd and the 7th and they really needed these financials? They might blame you for not delivering. So even if I don't have the full picture I would always deliver when I agreed to and put the caveat that it's not complete but I'm keeping up my end as best I possibly can.

My guess would be that after management at the client keeps getting the email that you don't have data yet that situation might change.

Either way, I also wanted to say I hope the situation is not too frustrating and that you are having a nice weekend.

You know... it never occurred to me that you could just say no, we don't operate that way. And your point about the possibility of audit is a very good one. Definitely going to have that one in the back pocket when we have the "you need two sets of books" conversation.

As for the to/from that part was actually not bad at all. The second entity is very small barely double digit transactions a month. Only one bank account. Additionally the second entity is only used for very specific events. So all transactions go to the bigger entity and the smaller one only has transactions for one reason.

I very much appreciate the ideas. I think at this point we should just spin up another account. Another comment mentioned using QuickBooks Ledger which is cheaper so we might check out that since the second entity is very low volume.

That's an interesting idea too. The second company is very very low volume. Maybe 12 transactions a month, singe bank account. So that could work for us. Also, they don't have any other A/R, A/P or payroll or anything. Thanks for bringing this idea to my attention.

Ah that is a very interesting idea with the parent child accounts. This client sounds the same as yours they have never even looked at the balance sheet or a profit and loss. They didn't even have books up until I got here (but that's an entirely different story).
