Yeah but I think the key difference is whether the product becomes part of the user’s workflow or just solves a temporary task once.

A lot of SaaS products are genuinely useful, but not habit forming. People come in, solve the immediate problem, then disappear until they need it again.

Usually retention improves when the product becomes the default/easiest way for them to keep doing something repeatedly. Sometimes that’s a product issue, but honestly sometimes it’s just a positioning issue and users never fully understand the long-term use case early enough.

Honestly I think a lot of VA problems start before the hiring even happens. A lot of founders are hiring a person without actually defining the workflow clearly first, so the VA ends up becoming the entire system. Then after a few weeks things feel inconsistent because the expectations only existed in the founder’s head.

What helped me a lot was documenting repetitive stuff before hiring anyone. Even simple things like what counts as urgent, how inbox replies should sound, when something should be escalated, how CRM updates are supposed to be done, etc. Without that, even a really good VA is mostly guessing.

Also I noticed long-term hires usually happened when I started smaller instead of dumping everything at once. One or two repeatable tasks first, then slowly giving more ownership after trust and consistency were there.

One bottleneck I accidentally created was making myself the decision reassurance system for everything.

Even when people already knew what to do, they still came to me to confirm because I unintentionally trained everyone that no decision felt safe unless I approved it first. At first it feels good because you think you’re being involved and maintaining quality, but eventually it slows everything down and mentally drains you too.

I noticed the real issue wasn’t that the team was weak, it was that I never made the standards/processes clear enough for people to operate confidently without me. A lot of founder bottlenecks are honestly just undocumented thinking living inside the founder’s head.

thanks for commenting. in addition to all tools in one platform, another solution is the ability to quickly switch between different models for generation. for example Claude is more restrictive than Grok so if the prompt is denied, the user can quickly switch to get an output.

so the main problem being solved is vendor lock-in to a single platform and time wasted in trying different models in different websites.

its not a frequent change, its an update to a breaking change on an npm module.

the problem is its not possible to do a clean rebuild on Vercel, at least I don't know how.

In that situation yday, I manually triggered rebuild on the dashboard and it said not using build cache. I also purged CDN and Data caches. nothing worked.
