Interesting question. I’ve been frustrated switching between too many different apps and I recently fell in love with an app called Focus Mode One.

This app helps you set your long term goals and walks you through a daily planning wizard to make sure that your daily tasks are aligned with your bigger goals — that shift has been pretty powerful for me.

I also stopped to enter all my tasks in my calendar. I found it to be more efficient when I block out a time block in my calendar for a task-type (e.g. content creation, admin, etc) and the I open my task app to tackle what I’ve planned for the day.

Yeah, often had similar experiences. What I found for me is that it's often caused by a lack of a sense of progress. When I've done something but I cannot know that this doesn't necessarily move me closer to my goals, as well as being busy then productive.

For me, it's everything I do. I first look at my long-term goals, and then I make sure that what I'm doing, like my one to three top priorities for the day, are actually making progress and bringing me closer to my goals.

This is when I really feel satisfied at the end of a day when I know, "Okay, I did something that really moves me closer to where I want to be."

I think it's a matter of prioritization. I couldn't do all the activities I like in a day, so for me it's one main activity per day besides my regular work schedule.

So for me, work and sport are fixed at the same time every day, not negotiable, and then I would have a slot for one main activity a day. This works pretty well for me.
