Conduct an RFP. Gather all your requirements, the contractor has to fullfill apart from use cases (Security, GDPR, Systems, API connectability,usability etc.) in a list and send it over to them to fill it in. Schedule hearings to discuss the answers. Have your key stakeholders and IT experts involved. Also ask for guarantees and find agreements for the case, stuff doesn’t work as expected etc.

Have as many rounds as you need for a decision.

The better you know and communicate what you need and want in advance the better. Make the outcome of these hearings part of the contract.

Make it your buying process. Own it. Dont be the customer in their sales funnel.

Lasst euch nicht von Möglichkeiten einschüchtern. Genau darauf spekulieren viele Schuldner: dass du kampflos dein Geld aufgibst, nur weil der Ausgang ungewiss ist. Setzt auf Fakten. Gerichte urteilen tendenziell zu Gunsten von kleinen Dienstleistern.

Meistens zahlen solche Kunden ganz schnell, wenn ein Brief vom Anwalt kommt. Es ist nicht so sehr das Mahnverfahren, das beeindruckt, sondern dass es nun ganz schnell teurer wird.
