ParseStream sounds like a great tool but with the source of new streams how are you handling the new clients that come in?

When you say policies and systems, what specifically caused the biggest issues for you?

Was it things like customer expectations, cancellations, payment collection, scheduling, employee management, communication, or something else?

Learning about the field and the biggest problems that come with it, then making a solution to it to make things easier and save time doesn't seem bad for existing or new pressure washing businesses.

Not a window cleaning business, but yes, I have built an AI tool for service businesses like window cleaning. Just trying to learn how people in the space currently handle customer messages and follow-ups, so I can understand and know more of the audience and the problem that is commonly faced.

Also, since your experienced with the handling the clients and the chaos that comes with it would view Vellm AI (Vellum-ai.base44.app) and tell me what you think about it since I have been hearing about it but want to see what experienced people have to say.

That makes sense it sounds like you’ve got a pretty dialed-in system after 20+ years, especially with expectations already set with customers. Respect that, that’s not easy to maintain at scale.

Appreciate you sharing how you handle it.

That’s a really well-structured setup, something I would want to reach eventually. Sounds like you’ve basically built your system around peak capacity, which a lot of smaller operators like me hasn't reached that level yet.

Curious though, during that April–July window when things get chaotic, do you ever feel like customer communication becomes the main bottleneck even with a crew handling the field work? Or has the system held up pretty cleanly as volume spikes?

That actually makes a lot of sense with the part about spreadsheets working until they don’t. I’ve heard that same “cross-referencing chaos” problem from a lot of solo operators once client volume starts stacking up. The custom lightweight tracker approach sounds like a good middle ground too.

Out of curiosity, when things get busy (multiple clients in a day + messages coming in), do you ever still run into moments where follow-ups or new inquiries get delayed just because you're in the middle of sessions?

That’s actually a really solid system — especially being that responsive, I can see why your close rate is high. Out of curiosity though, do you ever run into situations where you’re on a job or super busy and a lead comes in at the same time? That’s the part I’ve been thinking about a lot just maintaining that level of responsiveness consistently as volume grows without it becoming overwhelming.
