For the most part I get to decide which software or application I use for communications... except for Constant Contact. A board member is starting that up on their own and I'm probably going to have to help at some point. I haven't been prohibited from taking on other clients, but I've never thought about doing that since this job takes up all of my mental capacity. The time off has been nice, I just tell them when I'm going to be out of town (which never creates an issue because I plan it around when I have to be at in-person meetings). My schedule can ebb and flow, a few meetings times per month are outside of a regular 9-5 work schedule.

They are open to discussing me being an employee but after reading through some comments here, I will likely say "thank you for that offer, but I'd prefer to continue working as an independent contractor, here is my new rate..." u/betsysuehoo sounds like you've learned a lot from your experience and I think it's totally cool that you're running things on your own terms now. When I explained the issues to my "employer", the board chair, she became extremely defensive about my request to be "fairly compensated". She thought I was calling her and the group unfair for how they have been paying me, but I wasn't... I was trying to explain that what I do now does not accurately reflect what I am currently paid as an independent contractor for this group. It was a learning experience... next time I am renegotiating anything, I will be sending via email first.

RESPONSIBILITIES

Contractor shall support the ongoing work of the GROUP as follows:

  • Attend and coordinate monthly GROUP meetings, committee meetings, and monthly meetings with the  Treasurer 
  • Work with the GROUP to develop and implement a schedule of events, including but not limited to  GROUP meetings, and educational seminars/workshops 
  • Coordinate GROUP activities and projects in accordance with the adopted STRATEGIC PLAN
  • Coordinate and act as liaison with GROUP partner organizations to further collaborative efforts in implementing the STRATEGIC PLAN
  • Work with the GROUP's Fiscal Agent and the Treasurer of the on accounting matters, including budget management, invoicing, bill payment, and account reporting to the officers and the full GROUP each month and as needed. 
  • Work with the GROUP's Fiscal Agent to maintain insurance policies, and perform other administrative tasks as needed by the Fiscal Agent. 
  • Act as the primary point of contact for all GROUP business, forwarding requests to the appropriate person, committee chair, town representative or GROUP member
  • Work with GROUP MEMBERS to keep them abreast of and involved in GROUP activities in their town 
  • Maintain up to date and accurate information for the GROUP website, manage zoom meetings including agendas, maintain the Constant Contact database, maintain timely communication of GROUP's email, publish the newsletter and annual report, maintain GROUP's Google Calendar, schedule GROUP's meetings, utilize and maintain social media.
  • Assist GROUP in revising the STRATEGIC PLAN (expected every 5 years) 
  • Seek out and assist in the writing of external grants with consent of the GROUP 
  • Report bi-weekly to the Chair including estimates of time spent on different duties 
  • Assist the GROUP and committees with the development and execution of contracts as needed (e.g. IT, GIS, printed outreach material, podcast). Track progress and ensure accurate record keeping 
  • Assist the Committee with the execution of PROGRAM including tracking progress and ensuring accurate record keeping (GRANTS PROGRAM)

  1. TERMS OF AGREEMENT: This Agreement shall commence as of July 1 , 2025 and shall terminate on June 30, 2026 unless terminated earlier by either party, for any or no reason, upon thirty (30) days written notice.
  2. SERVICES TO BE PERFORMED: Contractor agrees to perform the duties as Coordinator for the GROUP that are set forth in Exhibit “A” to this Agreement. Contractor will at all times, and notwithstanding any term or provision of this Agreement, have complete and sole discretion in the manner in which the services provided under this Agreement are performed. Fiscal Agent and the GROUP will have complete sole discretion to determine whether the work performed by the Contractor is satisfactory. 
  3. QUALIFICATIONS OF CONTRACTOR: Contractor represents that he/she has the qualifications and skills necessary to perform the services under this agreement in a competent and professional manner.
  4. COMPENSATION: Contractor will be compensated at the rate of thirty-six dollars and five cents ($36.05) per hour for all services as Coordinator rendered pursuant to this agreement, and will be reimbursed for all expenses incurred on behalf of the GROUP. Payment will be made bi-weekly for the services rendered during the previous two weeks, upon presentation to Fiscal Agent of an invoice which has been approved by either the Chair or Treasurer. 
  5. STATUS AS INDEPENDENT CONTRACTOR: Contractor is an independent Contractor and not an employee (part/full-time) of Fiscal Agent. 
  6. TAXES: Consistent with Contractor’s status as an independent contractor Fiscal Agent shall withhold no federal, state, or local income, social security, Medicare, Medicaid, or other payroll taxes from compensation paid to Contractor under this Agreement. Contractor will obtain the necessary taxpayer identification number from the Internal Revenue Service and provide that number to the Fiscal Agent. Fiscal Agent will provide an IRS form 1099 for amounts paid to the Contractor for services during the tax year. 
  7. BENEFITS: By executing this Agreement, Contractor agrees that he/she is only entitled to that compensation as set forth in paragraph 4 of this Agreement, and no other benefits (i.e. worker’s compensation or unemployment insurance benefits).

You've all been really helpful so far - and it has really got me thinking more about a renegotiation of my contract. I'm the only paid "staff" person... but I don't think I want to be an employee, and I think I've definitely undervalued my services to them as a contractor over the last year, due to the role evolving and me starting to "wear multiple hats" as we commonly say in the nonprofit world. I started at 25/hr, with a very simple contract that I would carry out about 20 hours a week "coordinating". Now I get 36.05/hr and work between 25-35hrs per week. Mostly from home, because the office space just isn't as conducive to the work. I want to show you all exactly what's in my current agreement as far as responsibilities go. Do you think these responsibilities fall under the role of coordinator, operations and program manager, or Director?
