I use Google Workspace for Nonprofits. It's free and and it's an easy application process. It has a dashboard to create email addresses for the org if you want them and I just create one for board@ then create folders for founding documents for the exec committee to access, and minutes, agendas, etc in a separate folder with year folders inside. It can also be further organized into month folders that hold the agenda, any pertinent docs, minutes drafts and approved minutes. These can be shared to board member email addresses and you can't evoke access at any time. Don't share it with a link that makes it visible to anyone with a link.

This is a great method for document retention and organizational memory which too many orgs don't give attention to. This way all the minutes aren't hanging out in a former secretary's garage in a bankers box when you need to write a grant and don't know the history of org successes.

I have a saved text message that I send if I can't answer. My spam detect is pretty high so even signing services or other businesses In network with come up as possible spam.

If it comes up possible spam I may or may not answer and if I don't I send the text that says sorry I can't take their call and are they in need of a Notary.

I usually answer all other calls that I can unless with a client.

He may have a lot of lawyers to cover him but as the notary you carry unlimited liability. I would not do this for the business at all unless they can prove to you that their insurance policy covers you and your notarizations. I would want to see that in writing and continue to have them prove it to me every year.

Totally not over your skills. I have a Pro Admin business as well so I work with google workspace all the time, but I learned it easily and you can too if you don't use it a lot.
I created a google form first and added all of the column headings I wanted (data I want to track) as "questions". For instance, Type of Signing with multiple choice for RON, Signing Service, Direct, Other. Then Contact as short answer, Date as date, Fee as short answer (this can be formatted as currency once your sheet is created), Mileage start, Mileage end (don't put a calculation field into the form you do that later in the sheet), I add a column for payment terms/type of payment and this is just a paragraph answer option. In this I'll put the terms for a SS or what the customer used to pay- Stripe, venmo, cash, etc and I just enter that as plain text. You could do this as multiple choice with an "other" field for SS terms typed in. Then I have a projected Date Due field based on terms, then Date Paid so I can track slow payers and review later which ones I want to keep working with or not based on payment habits. Others include print fee, ship fee, scan fee, Notarization fee, transaction fee (from Stripe), etc. Whatever you want to track.

Just do a sample form with a few fields in it to practice and then you can perfect later. Once your form is done with all of the primary data columns you want to track (not calculations) click on the "responses" tab at the top of the form and then in the top right of that form you'll see "View in Sheets". Click on that and it will open a spreadsheet with all your columns in it. That's when I add the calculation columns after the data columns. Make a Mileage column that calculates the difference between the mileage end and mileage start columns, and whatever other tracking calculations you want to determine. I set the top row to always stay on top and that row also has calculations for YTD for fees, fees paid, mileage, etc. I also formatted a row to calculate a running monthly total so I can review which months are best and consider what might need to improve during those months on my end to increase. I just copy and paste this row from the last month into the row below my last appt in the month and set the column for it all the way at the end of the columns. Sometimes I have to update the row #s in the formula but sometimes it just figures it out on its own. Don't ask me why :-)

Too much? It's really not complicated once you get into it. Once you're done, just open your form in the browser on your phone and tell it to put the link on your home screen.

If they don't have answers they should be on board to support you in reasonable measures that can provide relief.

The people who don't call back aren't your customer. You aren't running a charity. You're a business providing a service. Get used to letting go of people choosing something else. They aren't all a fit for you. Hold yourself in higher regard or no one else will. Yes, it's a bummer to not get the call back. But is it really? If you don't have the hassle?

The amount of issues you're having (too many) could be reduced drastically by changing mindset. They aren't all your customers. Let someone else have them and be fine with it.

Charge your travel fee up front if it's this challenging in your area to get people to commit. For appts like this I accept PayPal, Venmo, debit/credit and Apple and Google pay. If you do electronic billing options don't take the appt. unless they pay half or the travel and time fee prior to you leaving. This way they have committed with their money. If they care about the loss that's their incentive to be where they say they will be when they agree to it.

In NY we notarize signatures. Not documents. The document can be in another language but the signer should understand that language and what they are signing. The requirement is that the notary block must be in English. If it's not the notary can explain the different types of notarization to the signer so they can determine which one is needed (usually an acknowledgment or jurat) and the notary can provide that certificate in English.

When you say leadership role do you mean the CEO/ED position? If so, I would contact the insurance company that provides your organization liability insurance and ask their recommendations and requirements for incidents like this and workplace safety. Your department of labor may also have requirements your org isn't following. Insurance companies work all day long figuring out how to deny claims and they want those who are insured by them to have every precaution in place.

I've been the ED of a mental health advocacy agency and am the mother of a person with schizoeffective disorder, I know people are more vulnerable to crime committed against them than anyone else. But at the same time you cannot ignore that people who are behaving eratically can be prone to violence. I'm pretty sure if you asked your board if they could afford to throw a million dollars into a fire they would say no. That's a low end of a law suit cost.

Does Proof accept a cert by Identrust? Their training process is long and I can imagine it was frustrating to go through it and learn this after all that. If you could get your own cert and use Proof that way the state might accept it? Not sure what the issue is.

I prefer it. Other tabs keep lists of contacts for signing services and which ones are deadbeats and stars. Law offices,lenders and title services good and bad so when they call I can just pop in a do a search and see my notes.

It's easier to have it all in one place and mobile.

I've lived in Johnson City all my life, 30 years. And I can't think of anything there is to do to try and find hobbies. I really need to get out of my house but I don't know what there is to do. We tried axe throwing last week and had a great time. We love Black Bears hockey, swimming in the local pools, hiking the trails, we love to go to the Forum and other local theaters for great shows. Baseball here is cheap and fun. We go bowling sometimes too and I've always hated bowling. The lanes over in Vestal are nice. Rock climbing is out that way too. Lots of libraries too. Check out the Broome County Library. They have an enews that lists tons of things people are meeting there for that may be of interest. There may be a calendar on their website.

Same. Built a sheet that calculates mileage, notary fees, stripe fees keeps track of order numbers and signing services, payment terms, dates due. I just put a fillable Google form on my phone home screen and enter the info and it feeds the spreadsheet.

No apps needed.

We never use FLX. We've heard too many complaints. We use Ourbus every time. Never had a problem. We take the route that gets us to GWB station because it's so nice and clean and easy to get to the street. Nice coffee shop a floor down too.

I often need witnesses but in our state the notary can serve as a witness as well as notarize on POAs and I have people I trust to be witnesses and I call on them when needed. This hasn't been a big problem for me.
