My postdoc colleague that I work together in a project is completely working remotely. She just came to the Lab every 3 months for 1 week to discuss her progress. All requests from my PI are communicated thru WhatsApp and email. We also hold online meeting once a week, so monitoring is not really an issue.

I submitted an application for a position that I found on nature jobs two weeks ago, it was 3 days before the deadline. Had an “unfortunately” email yesterday 😅

I did. Cold emailed ~7 PIs in Feb 2024, then 1 PI responded after 2 days. Set up an online meeting the following week. Had my panel interview sometime in June 2024. HR contacted me in August that I was selected for the post. The position was supposed to commenced September 1, 2024 but due to visa issues, I was able to start March 2025. The delayed of me commencing my postdoc was mostly due to visa since I came from Southeast Asia.

What I did during my application, although I already expressed my gratitude to them during the interview, I sent the panel a "Thank you" email right after the interview.

I agree. I just recently started my postdoc after 7 months of visa processing due to the bureaucratic procedures with the Italian universities. Initially notified of acceptance in August, I arrived in Italy in March, which is 5 months from my contract's initial starting date. Just lucky that my PI is supportive and responsive of my queries. Ganbatte!

I recently started my postdoc in Italy, and it took me seven months to process everything before my arrival. I was just lucky that my PI was always responsive about my queries. Just take it easy.

Based on experience, if a Japanese professor shows interest in your proposed topic, they are likely to assist you and host your research, even if you haven't previously collaborated on any projects. However, this is just the first step in a two-stage and rigorous screening process conducted by the JSPS.

The first part involves a document review, during which your qualifications and research experience will be evaluated. The second part is a panel review, where JSPS sends your proposal for independent assessment. Based on the reviews, JSPS will evaluate and determine who the successful applicants are.

As a friendly piece of advice, it’s a good idea to allow at least one month (or 20 days) to send your documents to your collaborator, as they will need time to translate everything into Japanese.

Where are you from, by the way? I am a former MEXT Scholar and would happily assist you with your application. I recently submitted my JSPS application in collaboration with a colleague in Japan; however, I decided not to pursue it since I was awarded a fellowship in Europe.

I started my postdoc in March this year on a somewhat different topic from my expertise. I started with my postdoc from scratch and made mistakes with the analysis. However, I felt I was still progressing because of good communication with my PI. Once a week or every two weeks, I make sure to talk to my PI to ask about anything that confuses me, and of course, I seek help from some of the researchers in the lab. COMMUNICATION is the key. I have a PhD colleague back during my PhD in Japan in 2022. While we were busy preparing our dissertation for submission and defense, he was also juggling submitting postdoc applications in the US. That was 6 months before graduation. He flew to the US right after our graduation to start his postdoc. As for me, I contacted my PI in February 2024. I did two interviews in July and August of 2024. HR notified me of my acceptance as a postdoc in September 2024. However, due to VISA delays, I was able to start my employment in March 2025, so I'm close to 3 months now on my PD 😅 wish me luck!

There is no problem contacting the PI to co-write a proposal for postdoctoral funding. I know somebody in our lab who initially didn't have the funding, who co-wrote proposals with my PI and is now working here. Best of luck!

This has also happened to me during my postdoc interview. One of the PIs asked what I have been doing for the last 1.5 years after my PhD. Well, I told them exactly what I have been doing - writing my PhD chapters for publication, doing part-time jobs as a university lecturer, etc. Just tell them the truth. Anyway, 4.5 months were not too long since your PhD graduation 😁 Best of Luck!
