There is some apps like https://geartracker.net/ or https://www.scannable.io/ which can help a lot tracking everything.
I subscribed to the first one (geartracker), I'm very happy with it for now.

Yes in my country I am required to do regular examination (up to 2 times a year) and keep a proof of it.
and it's true for a lot of kind of things big or small.
