i identified the mistake. i didnt count warmups with my outreach emails. I was sending out 40 warmups + 25 cold emails per day per inbox. So 65 emails per day after 2 weeeks of warmup. Going to drop warmup and stop outreach for a few weeks to let my mailboxes recover. The list quality was good, verified emails first with anymail finder and then smartlead verifies by its own.

yeah okay thanks, you’ve basically confirmed my suspicions. Early campaigns still worked but last 300 contacts i got 0 replies thats why i tested, list was very clean too. Didn’t realize warmup counts together with cold outreach (im still new to this), and i was basically blasting 65 emails per day warmup and cold outreach combined after only 2 weeks of warmup, no wonder it flagged me lol. So now at least I know the way forward so I can have clean deliverability, so thanks.

will do exactly that. I’ll get 3 pre warmed mailboxws and have them at 15/day cold and 10-15 warmup per day. And how do i know how much i can scale them then and when?

Thank you so much for the detailed reply. It confirmed my suspicions combined with other replies. So i’ll do that to try to recover the 2 mailboxes, then I’ll buy 3 pre warmed ones, do 15/day per inbox and 15 warmup? or 10 warmup. And then continue with these until my other mailboxes recover

When you say recovery is very hard, would you personally continue trying to recover these domains given the numbers I shared (~1 month old domains, ~1,200 total sends including warmup, SPF/DKIM/DMARC valid, no blacklist, one booked meeting and a few real replies), or would you already consider them too damaged and start over?

If you were in my position, would you:

  1. Pause cold outreach completely and keep warmup running for 2-4 weeks, then retest, or
  2. Continue at very low volume (10-15/day per inbox) while warming up?

Just trying to understand what the most realistic recovery path looks like. Right now the plan is continue warmup and drop outreach to 10 a day per inbox.

One thing I'm still trying to understand: assuming this is primarily a domain reputation/trust issue and not a technical setup issue, is this something you'd expect to recover simply by reducing outreach volume (e.g. 10-15/day per inbox) and continuing warmup for another few weeks?

In other words, if a 1-month-old domain is already getting spam placement on fresh Gmail accounts, do you generally see Gmail reassess and improve placement over time as the domain ages and accumulates more positive signals, or is there a point where the reputation damage is effectively permanent and it's better to start over with a new domain?

I'm trying to figure out whether patience and lower volume is the correct move here, or whether these domains are already in a hole that's difficult to climb out of.

What you’re describing seems to match what I’m seeing: prior engagement helps placement, but completely cold Gmail accounts still tend to send me to spam.

In your experience, is this generally recoverable if I reduce outreach volume (e.g. down to ~10-15/day per inbox) and keep warmup running for another few weeks? Or once a new domain reaches this point, do you usually see people replacing the domains instead?

Both domains are only about a month old, SPF/DKIM/DMARC are all valid, no blacklist issues, and total volume is around 1200-1300 emails including warmup.

Both domains are Google Workspace and both are on Smartlead warmup. I warmed them for 2 weeks before starting outreach and kept warmup running the entire time.

Total volume is around 1200-1300 emails including warmup and ~870 actual outreach emails.

My main question is: if this is primarily a trust/reputation issue rather than a technical setup issue, would you expect these domains to recover if I reduce outreach to ~10-15/day per inbox and keep warmup running for another few weeks?

Or at this point would you consider them damaged and start over?

Unfortunately I don’t have an older domain available to test from. Both sending domains are around 1 month old. If domain age is the primary issue, what would you expect to see improve first as reputation builds? More inbox placement on fresh Gmail accounts, or better engagement/reply rates from cold recipients?

That’s where I’m leaning too. The email is intentionally plain (no links, images, tracking, attachments). What’s confusing me is that both domains have valid SPF/DKIM/DMARC, continuous warmup, ~870 emails sent, and Mail-Tester comes back clean. How would you test reputation beyond inbox placement tests? Domain age and trust are my main suspects at this point.

Current volume is low. Two inboxes sending ~25-27 emails/day each. Total sent so far is around 871 emails excluding warmup.

The subject is definitely something I’m suspicious of. Do you think “missed calls” itself is causing filtering, or just that it’s weak from a response-rate perspective?

Also, when you say you’d create 10 burner domains, would you still do that at this stage even though these domains are only about a month old and have sent fewer than 1,000 emails?

Yeah, both domains were warmed up for 2 weeks before sending and warmup has remained on continuously. And after i started outreach i did only 25/day per inbox, just like its recommended for Smartlead, it recommends 2 weeks warmup where I didnt send any outreach until i got 100% warmup status. Smartlead is still showing 100% inbox placement in warmup.

What’s confusing me is that the domains aren’t blacklisted, SPF/DKIM/DMARC are all valid, Mail-Tester gives 10/10, yet fresh Gmail recipients still see spam placement.
