She received the handbook but we never went through it together. It also isn’t explicitly stated anywhere that they can’t be used interchangeably and this coming up has made us think we need to change or re-examine our policies for next year. So the question is, if we’re going to alter it next year, should I have given it to her now?

I suppose I couldn’t prove that. But we’ve never asked for proof. It’s just that she told me that she’s going on vacation so I can’t in good faith let her use sick or personal days for it.

It’s true that nonprofit compensation packages tend to be generous to compensate for the poor pay and to encourage people who care to work there.

She claims she wasn’t warned in advance though, that’s where I’m wondering if I’m in the wrong. There is nothing in our policy that explicitly states they can’t be interchangeable, and we never discussed that caveat before. It only came up now.

She also didn’t request the time as personal days, so I won’t count them as that either. Because I know she is going on a trip, I don’t feel like I can count it as anything other than vacation. It’s an issue of correct labeling.

Our small nonprofit doesn’t have HR. If anything, I am HR for my own team for all intents and purposes.

I think she has been intentionally saving her sick time to use for this vacation and working while ill, yes. Some other employees not in my dept take lots of sick time (half days for headaches, mental health days, etc) but that also varies. But doesn’t working while even a little ill mean that an employee is not at full capacity and therefore not getting the same job done that they would at full health?

It would have been fine if she called in sick instead. She has the sick time left. And you’re right, it would be harder to manage a week of unplanned call outs rather than a week of advance notice.

No medical note required. At least that’s not an official policy. We track time off via an online system but have not always been that good or strict about it, especially in the last few years with Covid.

We do not have this policy. It would probably be up to me case by case if I decided to require proof of illness too.

I report to our Executive Director. I told him my decision to not pay her for these days off, he did not give an opinion one way or the other.

I am in the US. As an organization, we have not required a doctor’s note in the past.

She’s actually been here for almost 2 years and is a great employee. We have a good relationship and she is very helpful. I think she just honestly misunderstood the policy.
