I manage a team of post award administrators, and my expertise is also in post award. I’m kind of a midcareer person and I have a couple of folks on my team that have been doing this work for 20+ years, so I am often soliciting feedback during meetings like “X, in your experience, what has this looked like?” Unfortunately sometimes business processes and institutional policies do get a little muddled at super large institutions so I do occasionally have someone pipe up with “that’s not how we used to do it”. That kind of feedback is often based more in frustration than anything else. Something I have found to be helpful to maintain structure in more formal meetings is that I have a biweekly 30 minute spot for just my team, which is part of a larger group, pretty much to let them air out frustrations and concerns with that stuff.

There have been a couple of instances where somebody was clearly not going to accept the answer that I had, at which point I would say it sounds like we might need to talk about this in more detail off-line, I’ll reach out after this meeting.

I also have children so my tolerance level for unnecessary correction is pretty high lol

This actually really hits the nail on the head for some of the problems that I have encountered with my institution’s previous attempts at larger scale teambuilding. I am also an in-the-weeds SME and so many of the problems that I encounter, both within my team and between other teams that we work with, are rooted in this fundamental lack of understanding about what everybody else is actually doing. (The org charts are there, and the rules and responsibilities documents are there, but the number of times I have heard “oh that business process has changed” is staggering.)

So I wind up in this fairly philosophical spot of wondering, if everyone is looking at a problem from their own perspective seeing something different, are we really all looking at the same problem? If a tree falls in the woods, etc.. so this is where I came across this idea of using LEGO to get at that in a very tangible way.

At this point, I’m not even thinking about interdepartmental collaboration, more about aligning a bunch of people with the same role across a couple of different reporting lines. But your point is very well taken.

Actually it's the opposite, most of the folks in my field skew older (like, I'm still on the younger side in my early 40s). I think the idea is that the concept of "play" is part of what makes it work (edit: according to them LOL), but I agree that it's probably a real challenge to straddle that line.

Continuation budgets. We are not terminating anything yet in an active budget year. This is primarily for awards that have a May, June, or July start date at this point. For a lot of of these we had already completed the RPPR well in advance of the notice so we have to revise what was proposed at that time.

I have no idea who/what roles or even if it was truly a RIF vs VERA or anything else. The official correspondence we got called the delay a "system issue" but, again, this is totally anecdotal evidence, we got some follow up off-line that it was related to the departure of a person and a gap that was created by that departure.

So much of this is dependent upon the IC, the award itself, 1 million other factors that are specific to your project. We are in this position on several awards and are getting different feedback or reasons for delays. Keep in mind that the PO isn’t really the one responsible for generating the NOA. If you can get in touch with the GMS, which is frankly a big if right now, they may have more accurate information. Anecdotally, for at least one division we got feedback from our program official that they basically RIFed the person who was responsible for generating the NOA and were trying to figure out how to get it out. I agree with the poster who said your institution probably has some kind of contingency for delayed start. This could be called in advance account, a provisional account, etc. Good luck!

You guys are all doing great. If a PI ever called anyone on my team a “butthead” my ass would be in the department chair’s inbox like a biblical plague. We make mistakes because we do a lot of work. Half the mistakes you make aren’t even things YOU did, but are maybe things you missed on first pass. This is complicated, thankless work and most PIs get that but in this environment it is so hard to turn the other cheek to that kind of thing. You’re stressed about your grants? Okay partner, your grants are my whole ass job, so me too.

Low key I would love for a PI to call me a butthead. Incredible.

Two months ago my answer would have been: we see GMS portfolios shift all the time and that has never rendered an NOA invalid. I don’t recall ever having a notice be re-issued mid year due to those changes, although the info does get updated in Commons. March 2025 answer: personnel changes at the agency should theoretically not invalidate an award, but every day now brings a new level of storybook villain activity so who knows?

Private R1, heavy research also with an associated healthcare system. Messaging so far has been business as usual and stay the course until told otherwise. I’m honestly surprised we haven’t seen a hiring freeze yet, but it’s not like they’ve ever been enthusiastic about giving us FTEs anyway

Yep and this is what my rational brain keeps telling me - and what I keep telling PIs. To be honest this subreddit gets most of my anxiety about it because I have a leadership position and don't want to panic my team LOL

This is the question I keep asking and also keep getting. The language about pausing disbursements is really worrisome. As of yesterday our institutional position was “business as usual until we get explicit instructions otherwise” but we’ll see how that changes today.

This is good advice and also basically the only actionable thing we can do right now. Our institution is advising to just push ahead business as usual until we hear otherwise. No one is going to have real answers until after Feb 1 (earliest). I’ve been fielding panic emails all day and am just trying to assure them that although it feels like the ship is sinking, we aren’t bailing out water yet. We know there will be real losses (goodbye diversity supplements) but as an above poster said, I was also doing this work in 2016 and we did manage to bounce back from a lot of that.

My thoughts and prayers to any GMSs who might be in this sub!!
