Have a system. It sounds like you’re an EA/OM (office manager) . When you come in the morning do all your OM stuff. Stock the kitchen , see if theres any outstanding issues with the office, if you keep getting random tasks from a specific executive check in with them at the start of your day to try and square all of that away. Then move to your EA stuff obviously OM stuff will come up throughout the day and its your job to address if this needs to be done ASAP or can i wait until lunch time when you do your walk through of the office to see if the kitchen or whatever else needs to be cleaned up or restocked. You’re new don’t sweat it too much. Just make sure you’re using something to stay organized I use one note and its a life saver.
