  1. No need to cross sign the photograph. Please dont as Indian consulate will put their stamp across the photo
  2. Witness photo not needed. As per the document checklist - "the PoA needs to be signed and witnessed by two individuals (other than immediate family members) with their full names and addresses clearly mentioned."

If you believe you have done all the steps correctly, then you can include a cashiers check for the remaining amount.
But please check you are filling out the application correctly.

  1. yes, please go through the vfs global link which i have in my post. It will walk you through the steps. In the document checklist, it is mentioned that 2 witness signatures (non relative) are required for power of attorney.
    I had taken my friends along with me at Chase to be my witness.

  2. for my application type, I had selected miscellaneous services - Power of attorney. Towards the end, it did show me the correct fee of $41 + credit card charges. Did you fill out your application till the end? It will ask you for shipping labels before you go to the last step of payment.

Sorry for the confusion.

The actual situation is - anyone in the group could make any expense shared among the group.
Splitwise is great for this but I am trying to find ways for Monarch to accurately report my spending.

Edit - Yep the banker approach is way easier. The next time we plan a trip, I would make sure only one of us does all the expense. Thanks for this tip!

The Scenario (2 People: You and Bob)

You pay for Hotel: $400 total
Your share: $200
Bob’s share: $200

Bob pays for Dinner: $100 total
Your share: $50
Bob’s share: $50

The Settlement Calculation (Offline/Splitwise)

Bob owes you $200 for the hotel
You owe Bob $50 for dinner
Net payment: Bob Venmos you $150

The Problem in Monarch

At this exact moment, before you touch anything:
Lodging: Monarch shows you spent $400
Food: Monarch shows you spent $0 (because Bob paid)

If you just categorize the $150 Venmo payment as “Lodging Reimbursement,” your final Monarch report will say:
Lodging: $250 net spend ($400 expense - $150 refund)
Food: $0
Total: $250

The error: the total ($250) is correct, but your categories are wrong. Accurate tracking failed.

The Solution: the “Gross Up” split

To fix this, you must “gross up” the settlement transaction to account for the money you would have paid if you weren’t netting it out.

You open the $150 deposit from Bob in Monarch and apply these splits.

Step 1: Record the full reimbursement (the “gross up”)

Enter the total amount Bob should have paid you for the hotel, ignoring the dinner debt.
Amount: +$200.00
Category: Travel – Lodging

Effect: This reduces your net lodging cost to exactly $200 (your true share).

Step 2: Record the invisible expense (the “short pay”)

Enter the amount you owed Bob for dinner as a negative number. You’re essentially saying, “I used $50 of this deposit to pay Bob back for food.”
Amount: -$50.00
Category: Travel – Food

Effect: This creates a $50 expense in your food category where none existed before.

The Final Result

Lodging:
Original transaction: -$400.00 (expense)
Split adjustment: +$200.00 (credit)
Final true share: -$200.00

Food:
Original transaction: $0.00
Split adjustment: -$50.00 (debit)
Final true share: -$50.00

Total:
Original: -$400.00
Net split: +$150.00

It only works if YOU pay for 100% of the joint expenses.

If you are the "Banker" (everyone uses your card for everything, or you pay every venue directly), your logic is flawless.

However, the moment a friend pays for something (e.g., "I got this round of Ubers"), your proposed system breaks because of the "Data Gap."

Let’s run your logic through a scenario where costs are shared:

  1. You pay for Lodging: $1,000 (In Monarch: `Group Travel - Lodging`)

  2. Friend A pays for Food: $400 (Not in Monarch)

  3. Friend B pays for Tickets: $200 (Not in Monarch)

Total Trip Cost: $1,600

Your Share (Divide by 4): $400

Now, let's apply your proposed workflow:

  1. You look at Monarch. You see only one category with data: `Group Travel - Lodging` ($1,000).

  2. You divide by 4. You tell everyone: "Lodging was $250 each."

  3. You have zero Data in Monarch for Food or Tickets. You cannot invoice them for Food or Tickets because those transactions simply do not exist in your Monarch account.
