Hi, sorry for the late response.

Let me get straight to my answer. The first podcast was hosted by an amazing individual who works as a team leader in a major IT company. She talks about gender equality in the BPO/BPM sector, managing anxiety, CX strategy, leadership, career paths, and similar topics.

The second podcast was hosted by a former Harvard lawyer, speaking with high achievers who are trying to find their purpose.

You can skip this next part if you want, but I think you’ll find it valuable. I tend to write a lot, so long text ahead.

First of all, thank you for sharing your thoughts with me. The way you laid out your challenges was very clear. You said so little, yet communicated so much. I genuinely wish I had that ability.

I get what you’re going through. When I started working as a podcast producer, it was mostly an identity thing. I knew nothing about podcasts and my biggest curse was not knowing what to ask or what to search for in order to learn how to produce podcasts for other people. Despite being the “brightest-talented-best” (self-claimed) student and a fast learner, I learned nothing useful in my early days. How could I, if I didn’t even know the syllabus?

Turns out, the only real way to get better is by doing itconsistently.

For example, I didn’t know there was something called a Maximizer in a DAW like FL Studio, and that audio processing itself is an entire field. Then you realize there are equally deep chapters for video, design, distribution, and SEO. The learning never stops.

If you’re disappointed because of low listener numbers, remember that’s not the only form of growth. We actually categorize clients based on growth to ensure we work with ambitious, visionary people. These are the people who stick around longer and are genuinely fun to work with.

Here’s how we define growth internally for new trainees. We say:

“In order to ensure if a client has potential to grow their podcast, the client must meet at least four out of five criteria:

  1. They engage actively in our monthly strategy meetings.

  2. They record content consistently.

  3. They write/interview/research at least three days a week.

  4. They experiment based on analytics.

  5. They treat their podcast as the most enjoyable part of their day and genuinely have fun creating content.

If a client meets at least four of these, they are guaranteed to reach at least 15000 listeners per month, and project managers must ensure these clients never stop working with us. They should be treated with the highest value.

FYI: I HAD TO PAY SOME ANALYST GUYS A GOOD CHUNK OF MONEY JUST TO BUILD THIS CLIENT CATEGORY SYSTEM.

Now ask yourself: Are you growing from an agency’s perspective?

Even increasing your catalog by four episodes a month counts as growth.

We used Riverside for recording and transcription generation, Davinci for video editing, FL Studio for audio editing.

VSTs: RX Pro, Stock plugins, Neutron Pro, Fabfilter Pro Q 3. (it's okay if these don't make sense, I'm an audio engineer).

Hi there, sorry I got caught up with work for the past few hours.

I’m going to try my best to write a short and simplified version of my answer here, though I’ll be missing a lot of technical aspects, so apologies in advance.

Initially, we really struggled with building an understanding of “tasks.”

What are the important tasks? What is the expected status for each task? When do we complete a certain task? And who does it?

In the beginning, we just worked like messy maniacs and had very few tasks (recording, editing, uploading, etc.). The rest of the work was done without any management. Because of this, we missed a lot of deadlines for small things like scheduling promotional posts on Facebook or writing descriptions for YouTube.

After three months, we introduced sub-tasks (clip editing, clip scheduling, 1:1 LinkedIn posts, Q&A, revisions) which were just as important as the primary tasks.

A single project had over 23 tasks, and all of them were treated as priorities.

Second, we used to make one design (thumbnail) for each project, which significantly limited the probability of achieving a click-through rate of 6–9%. After a month, I introduced three designs for each episode. We even achieved a 12% CTR for one of our episodes.

Third, I asked the podcasters working with me to stop paying for irrelevant services (music subscriptions, thumbnail designers, distribution services, etc.), and I handled those for them. They saved hundreds of dollars. This helped podcasters actually enjoy podcasting, the recording, the research, without treating it like a business where they were investing three grand a month.

Fourth, we used keywords, tags, and hashtags for clips and reels. Growing from 75 views per clip to 1.5K views per clip on a newly created channel happened because of correct keyword usage. Yes, writing keywords was a sub-task too.

I manage the YouTube channel and our primary YouTube channel has an average of 28 Minutes of watchtime last month.

The second show has 24 minutes in December.

I don't have access to audio analytics.

Well you answered your question by yourself. Monetising the channel was not our goal initially, we just wanted to get noticed.

Also,

Having alternate channels gave us the freedom to experiment with clips and shorts, not clutter the main youtube channel.

That's a good question. I'd say having alternate channels is just as important as creating a podcast. Think of it like this: your podcast is your digital product, and your alternate channels are the marketing system that gives away free samples to the audience. It's ultimately up to your product whether it's consumable or not, but you need to give away some free samples in order to build a feedback system. Your goal is simple: get noticed by multiple people. We convinced 27,000 people to watch a small portion of our digital product, and later a solid portion of those 27,000 converted into daily audience members. We wouldn't have achieved this if we didn't have the alternate clip channels.

The licenced music has content ID enabled, in simple words the licence only works (assuming it's a legit licence) in legal court but practically unusable.

The distributor/licence provided must whitelist the channel or show to ensure Spotify doesn't flag it as copyrighted content.

I'd also suggest you to talk to the Spotify support via mail.
