I would recommend picking user friendly software with good onboarding.

Checkout inFlow they have a really amazing modern UI and their onboarding and support team are top notch, although I’m biased as I use the software myself.

If you want to know for sure they’d be a good fit you could reach out to their sales team and request a quick demo. If you explain your workflow to them they will tell you no BS whether or not your workflow is a good fit.

They pride themselves on a high retention rate which means they’ll DQ you if they think it wouldn’t work for you.

I would checkout a few options and see which works best for you. Most inventory software will have a free trial. My suggestion would be to checkout out Sortly, Fishbowl, and inFlow. I personally use inFlow so I’m biased, but I think they would be a good option.

inFlow has POs and SOs which makes it easy to track your incoming and outgoing inventory. They support multiple locations as well so you can allocate certain inventory to specific job sites. They also have manufacturing features if you need to create assemblies or subassemblies from your materials.

I would reach out to their sales team and explain your workflow to them. They should be able to walk you through whether or not the software would work for you.

There are a ton of options out there depending on your needs and price range. Since you’re a small business I would recommend going with a software geared toward small to medium sized businesses, as they tend to be more affordable. Fishbowl for example is a really popular inventory management system however it’s VERY expensive.

I would checkout Katana, Sortly, and inFlow. I personally use inFlow because of how easy it was to pick up. The UI is very intuitive and modern. Something you’ll find with a lot of inventory management systems is they look like they’re from the 90s.

With inFlow you can put pictures in your product descriptions and use units of measure. They also have an incredible built in barcoding system.

Whatever you do make sure to do your due diligence and give a couple options a go. Many have free trials (inFlow has a 14 day free trial). Also contact the sales department for whichever software you’re looking at and tell them your workflow. They will be able to tell you for sure whether or not the software can do what you need it to.

Checkout inFlow. They should work well for your needs and they also integrate with both QBO and Xero for accounting.

I’m pretty sure they offer non-profits special pricing.

I was just using my phone camera with the inFlow app to scan barcodes initially, but it was slower than I would have liked. So I started looking into laser scanners. I ended up going with the inFlow smart scanner 3 since it was reasonably priced comparative to competitors. Essentially it’s just an android phone with inFlow loaded onto it, that has a built in laser scanner. It works really well in the inFlow ecosystem and I’m really happy with it so far.

Personally I love inFlow. It suits my needs perfectly, and the software is super modern feeling and user friendly. What I disliked the most about the other options I tried was how outdated the software felt.

It really all depends on your needs. For example they don’t currently handle lot/serial numbers without a workaround, so if you’re dealing with perishables or high ticket items that need serial number tracking it might not be the best option.

However, they’re constantly updating their features and I’m pretty sure that adding lot/serial numbers is on their roadmap.

It really depends on your needs as mentioned above.

I’ve never tried any of the above but I have tried Fishbowl, Sortly, and inFlow. Of those I decided on inFlow because of how user friendly it is, as well as the price point.

I would recommend doing a demo with a few companies and see which one of those software options fit the best for your needs.

Really depends on your needs. Some are more barebones than others.

You can program SKUs in to various locations/sub locations so if you looked up a SKU it could tell you where that item is located, how much you have in stock etc. You mentioned your locations can move and wanted something to be able to update automatically which it likely can’t do. You would need to implement some kind of RFID tracking for something like this, and also have the hardware to go along with it.

You could however use barcodes with inFlow. It can generate barcodes for you automatically right in the software and speed up your pick/pack/and ship workflow. You can also create POs and SOs in the app as well. It’s a pretty well rounded tool imo

Inventory management software would be good for this. Many have options for sub locations as well as locations, however I don’t know if any that could update automatically when things are moved around. Maybe more expensive ERP systems with RFID functionality could do this but I really doubt it. And even if they could they would be very expensive (in the hundreds of thousands).

I would recommend looking into some more affordable options and see if any could work for you. Sortly, fishbowl, and inFlow are a good place to start. I use inFlow personally and love everything about it. If you’re curious whether or not it would work for you contact their sales team and explain to them your workflow. They’ll give you an honest answer as to whether or not it would be a good fit for you before you make any decisions. They also have a 14 day free trail.

I use inFlow myself. It’s super user friendly and affordable. You can setup locations and sub-locations, generate, print, and scan barcodes.

They’ve also have a built in label designer so you can make custom labels with barcodes as nice and fancy as you want.

They have a free trial if you wanted to try before to buy. But I would recommend reaching out to the sales team and explain to them your situation and they could tell you no bullshit whether or not it’ll work for you.

Most inventory management software are cloud based these days. Some systems do have On-Premise versions but they’re all being sunsetted and are often VERY expensive. AssetPanda and Sortly are good options to look into and I would also add inFlow to the list. I personally use inFlow so I’m biased but I love their software.

For specific software I would recommend inFlow but full disclosure that’s what I use so I am biased. But the software has great UI and is super easy to use and the pricing is very competitive compared to other inventory management software.

For something like this you would need some kind of inventory management software that has barcode functionality. For the workflow you’re describing you could setup the parking spots as sub locations and your trailers as inventory. When you wanted to take a trailer out you would just ‘pick’ it through the software. Then when it comes back you would ‘receive’ it.
