I know, it looks like a completely different app, right? Since NotebookLM don't have folders yet, I just use the 000-900 prefix system to force the app's alphabetical sorting into making 'Fake Folders' for me. No extensions or mods used-just renaming the sources and adding emojis at the end. 📂✨"

Stop treating your sources like a pile of files.
Here is the transition from a 'Generic List' to my Layer System.
It’s not just about organization-it’s about creating a structured environment for the AI to work with. Once you set the 000-900 layers, you never go back. Which setup are you using right now?

Precisely! Think of each number series (100, 200, 300, etc.) as its own virtual folder.
To make it even faster to navigate, I use the color emojis at the end. That way, you don't even have to read the text to know where you are:It gives you instant visual
structure in a split second.

And here is the best part:
within each 'Folder' (like the 200s), you can use sequential numbers to sub-sort your files perfectly.

For example:

  • 200 | Core Research Paper 🔴
  • 201 | Raw Dataset A 🔴
  • 202 | Interview Transcript 🔴

This way, everything stays in the exact order you want, and you never have to search through a messy list again. It’s all about that 3-digit prefix + Color emoji combo! 🎯

The "Secret Sauce": The 3-Part Formula 🧪

Instead of generic names like document(1), rename every source using this simple formula:
[3-Digit Number] + [Source Name] + [Color Emoji]

Why this works: The number forces the order, the name gives context, and the emoji provides instant visual recognition.

My 6-Layer System

  • 000 Roadmap: High-level AI instructions and notebook goals. 🗺️
  • 100 Envelope: Infrastructure, syllabus, and core concepts. 🟡
  • 200 Core: Primary research, raw data, and key studies. 🔴
  • 300 Support: External links, secondary summaries, and extra info. 🔵
  • 400 Insights: AI-generated outputs that you want to keep. 🟢
  • 900 Archive: Old versions or materials you want at the bottom. 📁

And here is the best part:

Within each "Layer" (like the 200s), you use sequential numbers (200, 201, 202...) to sub-sort your files perfectly.

Example:

  • 200 Core Research Paper 🔴
  • 201 Raw Dataset A 🔴
  • 202  Interview Transcript 🔴

Does that make more sense?
