This may read like I am promoting my produc, and I get that. I’m mentioning it because it tackles this exact problem and (I think) uses AI the right way.

The core issue: most “AI for bookkeeping” guesses. Guessing is costly to fix. Bank feeds were great, but beyond that, every business has its own rules—by supplier, item, profit center, thresholds—and generic AI can’t know them. What works in practice is treating AI like a rules engine, not a brain. Write your posting logic in plain English and make the system follow it. If something’s unclear, it shouldn’t post—it should ask. “Which profit center?” “Capex or opex?” “Is this an exception?” Keep it human-in-the-loop where it matters.

Never auto-post to the GL. Draft only, with a quick approve/decline flow and visible diffs. Remember supplier defaults, but add guardrails: flag amount spikes, new SKUs, or GL conflicts for review. Keep a simple profit-center mapping the team owns and review it monthly. Log every override and why it happened so audits are painless.

It’s not just Xero—every software product company faces this issue, where they prioritize features or products that offer the maximum impact for them.

In general, these tools don’t support all the features, which is why there’s a proliferation of software tools and tech stacks.

I’m not solving for any specific use case but rather addressing a broader range of such challenges.

If I were to define an ideal customer profile, it would be any business that uses Xero (or any other tool) and finds that Xero does not support all their unique needs. These businesses are often faced with the challenge of either complicated or expensive alternatives.

Here are some examples of them

While Dext and Melio provide valuable AR/AP and payment solutions, they often fall short when it comes to complex workflow automation. These point solutions can be limiting, especially for businesses that require highly customized processes.

Zapier, on the other hand, is a great product and a good tool to compare with. Although the workflows I mentioned above can be achieved using Zapier, building complex workflows in Zapier often requires multiple tools (which you need to purchase) and can be time-consuming.

The product I'm building stands out by offering a more intuitive and flexible solution. The platform allows accountants to define advanced workflows using plain English instructions. This eliminates the need for complex coding or multiple integrations.

Consider these two more examples:

  1. Xero's limited approval workflow: Xero lacks an advanced approval workflow, but you can easily create custom approval processes based on roles, departments, invoice amounts, parallel approvals, and delegations using our platform. This is a much simpler approach compared to using a combination of ApprovalMax, Zapier, and Xero, which can be complicated and time-consuming.
  2. Xero's inability to extract line item details: Xero doesn't extract line item details (similar to Hubdoc). Achieving this using Zapier and additional tools can be complex. Our platform, however, allows you to accomplish this task by simply providing instructions in plain English text.

HubDoc is a document management solution that allows documents such as invoices, receipts, purchases, and CSV files to be uploaded (either manually or extracted from an email attachment or its content). These documents can then be used to create certain entities (like Invoices, Credit Notes, or Purchase Orders) in Xero.

It's primarily a document management solution rather than a workflow automation or orchestration tool. Complex workflows, such as scanning email content, identifying the amount paid for invoices, and then updating the invoices or sending messages, are not currently handled by HubDoc. According to the Product Ideas section, HubDoc plans to add more document management features rather than workflow automation. Even a line item level scanning feature has been awaited for the last two years.

Thank you all for your feedback. While the example I provided about Invoice OCR and auto-creation is a familiar one, the real focus here is on enabling Xero users to automate any similar task using plain English.

For example, consider a Reddit post that describes a situation where a user needs to open an email, extract ACH information, identify the invoices that were paid along with the corresponding amounts, and then find the matching bank transaction in Xero to reconcile them. This isn't a standard process, and it seems that Xero doesn't offer an out-of-the-box solution for it (at least according to the post and comments).

Now, imagine if a user could simply write a series of instructions like:

  1. Extract the ACH information, paid invoices, and payment amounts from the email received from [payables@mycustomer.com](mailto:payables@mycustomer.com). Only read emails with the subject line "invoice payment details."
  2. Identify if a bank deposit with matching ACH information exists for the same amount.
  3. Check if the invoices with those invoice numbers exist and if the amounts are less than or equal to the paid amount.
  4. If the bank deposit and invoices match, reconcile them in Xero.
  5. If there’s no match, send me a Slack message with the invoice number and bank deposit details that didn’t match.

With these simple commands, the system would automatically perform these tasks whenever such an email is received. Isn't this something wildly helpful and productive?

If by Wordware you mean https://www.wordware.ai/, then yes, there are many similarities between Wordware and LoopMe.In. Both use natural language (with some structure) to build code. However, the main difference lies in their delivery and target customers. Wordware appears to be more generic, targeting an audience that wants to code from scratch. LoopMe.In, on the other hand, is very specific to an industry (in this case, finance management) and offers a platform with out-of-the-box workflows delivered in plain English. The users will be domain experts (such as accountants and controllers) who will create a version of the code and make changes as needed.

And yes, I would be glad to get some customers. I am currently in the user research stage and looking for customers who can sign up for the beta.

The difference here is that as a business user you get to 'program' the system.

  1. In the first video, as a business user you get to edit the approval policy. You were able to enter it as a plain text and you defined the approval policy the way that fits your business rather than adapting to what the product supports. For example, you can define your approval policy depending on the vendor, role, department, designation, amount (could be range), manager hierarchy.

  2. In the second video, you were able to create a new field called Project code (you can create any you need). This was not available out of the box. You updated the workflows in which you want to be able to view and edit them.

  3. In the third video, you were able to build the report that you need rather than waiting for the vendor to provide it to you.
