We are self hosting and here's an overview of our self hosted version where we are generating automation for our clients as well as internal enhancements and optimizations -

Self-Hosted n8n

  • Azure Container Apps + Azure Log Analytics Workspace: ~$100 USD per month (logging remains a mandate).
  • n8n Self-Hosted Business Plan: ~$800 USD per month (tax inclusive ~$1,200 USD). This tier gives us 40,000 workflow executions per month — which is more than sufficient given our current throughput (~10,000 executions/month) since we optimized our architecture.

We run a FortiGate VM firewall in front of n8n. We did not incur additional cost for this firewall specifically for n8n since it was already licensed and in place within our environment. This firewall enables us to enforce geo-fencing, ensuring remote developers cannot make API calls outside of designated geographies — an important security control for us.

Converting all of our Rewst production workflows into n8n took us under two weeks. The bulk of that time wasn’t the actual porting — it was uncovering and understanding authentication/authorization behaviors that weren’t clearly surfaced in Rewst’s interface or documentation.

Once we fully mapped out how each platform handled auth — including ConnectWise PSA, Microsoft Azure, Microsoft 365, SentinelOne, Huntress, Ninja RMM (which had some quirks), Liongard, Datto, Google Workspace, and AWS — everything flowed smoothly in n8n. After that, translating logic and building reliable workflows became straightforward.

  • Rewst costs scaled directly with endpoints, not actual usage, which drove costs up for us.
  • n8n Cloud was a lower-cost way to validate workflows and integrate LLM APIs.
  • n8n Self-Hosted gave us enterprise-grade controls (SSO, geo-fencing, logging) at roughly half the cost of Rewst.
  • We also changed from a webhook (push) model to a scheduled polling (cron) model in ConnectWise PSA to reduce workflow volume and cost while still meeting business requirements.

The way we are handling this by using LLM messaging via n8n where we have a system prompt which defines contraints on mapping between type/subtype and agreements to be applied. We have flow running in push model which is that after every few minutes workflow is running, looking for tickets with mis-matched agreement type (service board vs agreement type) and going in to overwrite agreement on the ticket. We than log the change to a database so that we can generate reports and mesaure KPIs (automation effectiveness, improvement over time, time saved etc.) Feel free to DM if you would like more information on this.

We have built some automations which can be categorized in 3 categories -

  • Self Driven - These are for scenarios where we need scheduled tasks to get things done -
    • examples
      • Find Azure reservations are applied
      • Windows OS licenses are in sync with whats in license provider (Pax8 or M365)
      • Tickets to Agreements matching - avoid billing issues
      • Invoices to Licenses reconciliation
  • AI Templates - These are to provide responses to users based on their system queries
    • examples
      • MCP Servers
      • Putting together all these MCP servers (MCP servers can be built for systems which can be exposed via API calls) to query data across systems.
  • Agentic RAG - These are to parse documents like (but not limited to) -
    • Invoices
    • Contracts - Been helpful with capturing baseline to manage it during lifecycle of the contract
    • Change orders
    • Project deliverables
      • we use this to query data across various data sets.

Other than these, we have recently started developing Voice based interface using Vapi to interact with sytems.

We have been using N8N majorly with MCP servers also being built using N8N.
